Job Overview:

As a Senior Regional Accountant, you will engage in sophisticated accounting and analytical tasks, adhering to established policies and procedures for maintaining comprehensive financial records.

Your role involves meticulous processing of purchase vouchers for goods and services, utilizing advanced financial systems.

You will be responsible for reconciling and verifying invoices, contracts, and pre-requisition forms against purchase vouchers to ensure precise coding and documentation for accurate payments and auditing.

You will monitor and assess expenses related to Regional Administrative Contracts to guarantee compliance with contracted limits.

Additionally, you will maintain an automated Financial Management Workbook to track regional cost pools and program overhead expenditures, supporting reporting requirements and aiding in budget forecasting.

You will respond to inquiries from staff and vendors regarding Accounts Payable and Financial Services Operations, and initiate processes to obtain new vendor TIN numbers.

Utilizing financial systems and Excel, you will compile and analyze data to create statistical and financial reports summarizing transactions that affect the regional budget.

You will also follow up with field staff and Business Services to confirm completion and receipt dates for services and items received.

In this role, you may serve as a Super User or backup Super User in the purchasing pre-requisition process and assist in managing the online supply purchasing system.

Key Responsibilities:
- Maintain regular attendance in accordance with agency policies.

- Process invoices and prepare purchase vouchers for payment of goods and services using advanced financial systems.

- Ensure valid purchase orders for encumbered purchases and contracts for services before processing payments.

- Facilitate timely invoice payments to avoid interest penalties, coordinating with Business Services to secure necessary receiving reports and confirmations of service receipt.

- Monitor contract purchase orders to ensure expenses remain within contracted amounts, generating the Voucher Aging Report and following up with vendors for outstanding invoices.

- Act as a Super User or backup in the purchasing process, tracking requisitions and managing pre-requisition forms.

- Enter information into financial systems after obtaining necessary approvals to initiate procurement.

- Communicate with relevant parties to ensure accurate and complete purchase orders.



- Assist in managing the online supply purchasing system.

- Compile and analyze financial data to prepare reports for the Regional Financial Services Manager, aiding in budget monitoring and projections.

- Support the maintenance of the regional workbook for cost pools.

- Process accounts receivable by managing vendor checks and preparing receipts for departmental credit.

Required Knowledge, Skills, and Abilities:
- Comprehensive understanding of payment and procurement policies.

- Proficient in advanced accounting principles and practices.

- Familiarity with automated financial systems.

- Competence in standard office software, including Microsoft Office Suite.

- Strong analytical skills for working with numerical data and budget information.

- Ability to establish and maintain effective accounting controls and reports.

- Proficient in using office equipment and technology.

- Capable of conducting statistical analysis and budget forecasting.

- Professional communication skills, both written and verbal.

- Strong organizational skills to manage multiple tasks and deadlines independently.
