Job Summary
The Administrative Assistant position at National Youth Advocate Program provides an opportunity to perform a variety of administrative tasks that promote efficiency in the daily operations of the office.
Responsibilities include, but are not limited to:
- Performing all work in a manner consistent with the National Youth Advocate Program's mission, values, and philosophies.
- Arranging annual conferences, regional conferences, training sessions, and workshops, and all other public relation events as requested.
- Entering all program information into computer, maintaining databases, and updating all changes, additions, deletions, etc.
- Providing quarterly and annual reports on all children served by the agency.
- Coordinating newspaper advertisements for the program, advocates, and agency employees.
- Collaborating and providing support to designated manager, team, and/or other administrative staff as needed.
- Providing appropriate documentation for the payment of all expenses incurred by the agency, and maintaining an ongoing log of agency bills and expenditures if required.
- Attending meetings and recording and distributing meeting minutes as assigned by the Director or designee.
- Providing any statistical data as required.
- Maintaining adequate office supplies.
- Coordinating office equipment purchases, maintenance, and maintenance contracts.
- Providing notary public services for the agency.
- Providing general administrative support services for the assigned office.
Requirements
The successful candidate will possess a High School Diploma or GED equivalent, previous experience and proficiency in the use of various office machines, including computers, basic bookkeeping skills and experience, and proficiency with Microsoft Office, including Excel and Word.
The candidate will also be bilingual in English/Spanish, possess a valid driver's license, reliable transportation, automotive insurance, and a good driving record, and have a minimum automobile insurance coverage of $100,000/300,000 bodily injury liability.
The ideal candidate will be highly organized, have excellent customer service and communication skills, be sensitive to cultural diversity, and be an enthusiastic self-starter with excellent oral and written communication skills, strong organizational and administrative skills, and effective problem-solving and decision-making skills.
