Job Title: Grant and Revenue Accounting Manager

Join the National Center on Institutions and Alternatives Inc team as a Grant and Revenue Accounting Manager. This role plays a critical part in ensuring the financial health of our organization by managing grants and revenue streams.

Key Responsibilities:
  • Prepare and manage monthly invoices for all NCIA customers and programs.
  • Monitor and resolve payment timeliness issues with customers and NCIA program personnel.
  • Post adjustments to accounts receivable details and assist with correctly posting payments.
  • Reconcile accounts receivable open balances.
  • Prepare management reports related to revenue and funding for program directors.
  • Serve as liaison between the Fiscal department and the CBAI, YIT, and VTC divisions.
  • Perform other duties as assigned by the Controller or CFO.
  • Develop written procedures for job functions.
  • Review Business Services contracts and ensure billing is in accordance with terms.
  • Assist with contract preparation and review, including price and budget proposals.
  • Prepare semiannual Wage Analysis reports for Maryland Works.
  • Assist YIT School with preparing and reviewing student cost sheets.
  • Lead preparation of the annual MSDE budget.
  • Prepare periodic Tuition Reconciliation reports for MSDE and the ELA-s.
  • Work closely with the school team and ELA-s to resolve tuition and billing discrepancies.
  • Review and submit school Medicaid claims in Qualifacts/Credible to Medicaid and prepare revenue recognition entries.
  • Collect bills and receipts from program staff and verify accuracy.
  • Prepare expenditure reports by coding bills and credit card receipts according to grant budgets and internal accounting code system.
  • Reconcile credit card statements and supporting documents and submit for posting.
  • Prepare monthly summary expense reports for each grant and collect supporting documents.
  • Create and maintain detailed grant and contract recordkeeping.
  • Prepare monthly grant allocation reports and distribute to AP and staff.
  • Prepare accurate and timely financial data on grants for internal management purposes.
  • Perform grant-related post-award functions, including invoicing, budget analysis, financial reporting, and grant closeout.
  • Coordinate with the Fiscal department to process journal entries for various projects.
  • Prepare monthly reconciliations for grant advance accounts.
  • Prepare and review schedules for the Uniform Guidance Single Audit.
  • Ensure financial compliance with private, local, state, and federal agencies' policies and donor rules.
  • Perform ad-hoc financial analysis in response to requests or to support the financial department of grants.
  • Attend meetings with contract managers about budget, expenses, and fiscal concerns.
  • Attend budget, budget amendment, and billing training as needed.
  • Visit facilities to support financial management of grant-funded projects and conduct periodic reviews with field office staff and partner staff.
Requirements:
  • Bachelor's degree from a four-year college or university.
  • Seven years related experience and/or training, or equivalent combination of education and experience.
  • Experience with grants management, including Federal, State, and Private Grants, and CFR and ASC 606 standards.
Language Skills:
  • Ability to read, analyze, and interpret financial reports and legal documents.
  • Ability to respond to common inquiries or complaints from customers, regulatory agencies, or business community members.
  • Understanding written sentences and paragraphs in work-related documents.
  • Writing/communicating effectively in writing as appropriate for the audience's needs.
Mathematical Skills:
  • Knowledge of arithmetic, algebra, geometry, calculus, statistics, and their applications.
  • Ability to choose the right mathematical methods or formulas to solve a problem.
  • Ability to add, subtract, multiply, or divide quickly and correctly.
Reasoning Ability:
  • Ability to define problems, collect data, establish facts, and draw valid conclusions.
  • Ability to interpret various technical instructions in mathematical or diagram form and deal with abstract concrete variables.
Physical Demands:
  • Primarily sedentary, requiring the use of hands and arms for reaching and typing.
  • Limited walking and standing.
  • Communication and auditory ability are required.
  • Minimal lifting up to 15 lbs.
  • Close vision (clear vision at 20 inches or less). Color vision (ability to identify and distinguish colors). Ability to adjust focus.
Work Environment:
  • Indoor office environment.
  • Moderate noise, business office with computers and printers, light traffic.
