GENERAL SUMMARY:

Under the guidance of supervisory staff, this role involves providing administrative assistance for the Physical Rehabilitation Services while also contributing to routine patient care, ensuring a high level of customer satisfaction and proficiency in engaging with a diverse patient demographic.

KEY RESPONSIBILITIES:

  • Accurate and prompt registration of patients seeking outpatient rehabilitation services.
  • Collects essential information for insurance verification and authorization, documenting details in patient records.
  • Handles telephone communications, including placing, answering, screening, and directing calls, while providing routine information or taking precise messages.
  • Manages payment collection for outpatient services, including co-pays and deductibles, while generating receipts and reconciling cash drawers daily.
  • Coordinates patient scheduling for the earliest available appointments based on individual availability.
  • Performs daily charge entry, ensuring account information is current.
  • Maintains an adequate supply of patient charts, office materials, and necessary forms.
  • Creates daily schedules for the facility, therapists, and technicians.
  • Responds courteously to inquiries, both via phone and in person, directing guests as necessary.
  • Provides information regarding departmental policies and procedures.
  • Sorts and distributes incoming correspondence.
  • May guide patients and families on therapy schedules and registration processes.
  • Informs outpatients and their families about insurance benefits.
  • Conducts routine clerical tasks such as photocopying, faxing, and filing.
  • Assists in preparing for standard physical therapy treatments, including whirlpool, hot and cold packs, paraffin, traction, and electrical stimulation, under the close supervision of a Physical Therapist or Assistant.
  • Helps in stocking linens and removing soiled items from the department.
  • Assists in cleaning and storing equipment and supplies, making minor adjustments and repairs as necessary.
  • Participates in maintaining cleanliness within the rehabilitation departments.
  • Monitors and logs temperatures of therapeutic machines and patient storage units.
  • Tracks and logs oxygen tank levels, coordinating refills with respiratory therapy as needed.
  • Orders and maintains routine supplies and equipment for the rehabilitation department.
  • Collaborates effectively with colleagues to achieve team and organizational objectives.
  • Acts with consideration for both internal and external customers.
  • Fosters positive relationships through effective communication.
  • Seeks to understand and enhance work-related processes.
  • Attends departmental meetings and training sessions, potentially documenting and distributing meeting minutes.
  • Adheres to all hospital and departmental policies.
  • Performs additional related duties as assigned.

EDUCATION/EXPERIENCE REQUIRED:

  • High School Diploma or equivalent is mandatory.
  • A minimum of one year of experience with patient registration, verification, and scheduling systems is preferred.
  • Familiarity with medical terminology is advantageous.
  • Strong interpersonal skills to effectively greet and communicate with customers and colleagues.
  • Basic computer proficiency to utilize hospital order communication systems and software applications.
  • Experience with standard office equipment, including copy and fax machines, and computers.
  • Excellent organizational skills and the ability to thrive in a dynamic environment with frequent interruptions.
  • A willingness to acquire new skills necessary for job performance.
