GENERAL SUMMARY:

Under direct supervision, the Rehabilitation Support Specialist provides essential clerical assistance for the Physical Rehabilitation Service lines and aids in routine patient care, focusing on customer satisfaction and proficiency in engaging with a diverse patient demographic.

PRINCIPAL DUTIES AND RESPONSIBILITIES:

  • Efficiently registers patients for outpatient rehabilitation services.
  • Collects necessary information for insurance verification and authorization, documenting details in patient records.
  • Handles telephone communications by placing, answering, screening, and directing calls, while providing routine information or accurately taking messages.
  • Processes payments for outpatient services, including co-pays and deductibles, generates receipts, and balances the cash drawer daily.
  • Schedules patient appointments based on availability and needs.
  • Performs daily charge entry to maintain up-to-date account information.
  • Ensures an adequate supply of charts, office materials, and forms.
  • Creates daily schedules for the facility, therapists, and technicians.
  • Responds courteously to inquiries via phone or in person, directing guests as needed.
  • Addresses routine questions regarding departmental policies and procedures.
  • Sorts and distributes incoming mail.
  • May guide patients and families on therapy schedules and registration processes.
  • Informs outpatients and families about insurance benefits.
  • Conducts routine clerical tasks such as photocopying, faxing, and filing.
  • Assists in setting up standard physical therapy treatments, including whirlpool, hot and cold packs, paraffin, traction, and electric stimulation, under the close supervision of a Physical Therapist or Physical Therapist Assistant, following established treatment plans.
  • Helps stock linens and remove soiled linens from the department.
  • Assists in cleaning and storing equipment and supplies, making minor adjustments and repairs as necessary.
  • Maintains cleanliness in the rehabilitation departments.
  • Monitors and logs the temperature of hot and cold pack machines and the patient refrigerator.
  • Tracks and logs the oxygen tank levels, contacting respiratory therapy for refills when needed.
  • Orders and stocks routine supplies and equipment for the rehabilitation department.
  • Collaborates effectively with colleagues to achieve team and organizational objectives.
  • Plans and acts with consideration for internal and external customers.
  • Fosters positive relationships through effective communication.
  • Seeks to understand and enhance work-related processes.
  • Participates in department staff meetings and in-services, potentially completing and distributing meeting minutes.
  • Adheres to all hospital and departmental policies.
  • Performs other related duties as assigned.

EDUCATION/EXPERIENCE REQUIRED:

  • High School Diploma or equivalent is required.
  • A minimum of one year of experience with patient registration, verification, and scheduling systems is preferred.
  • Familiarity with medical terminology is preferred.
  • Strong interpersonal skills to effectively greet and communicate with customers and colleagues, both in person and over the phone.
  • Basic computer skills for utilizing hospital order communication systems and software programs.
  • Proficient in using standard office equipment (e.g., copiers, fax machines, computers).
  • Excellent organizational skills and the ability to work in a fast-paced environment with multiple interruptions.
  • Willingness to learn new skills necessary for job performance.
