Overview

RESPONSIBILITIES:

This role is essential for managing financial and operational aspects of service activities, which include documentation, material requests, job costing, status tracking, invoicing, and administrative closure of service operations.

The position necessitates close collaboration with the Area Service Manager and designated Service personnel to guarantee the prompt and precise execution of responsibilities.

Key Responsibilities:

  1. Assist service leadership by generating and interpreting business reports.
  2. Gather, verify, input, and reconcile service data within system applications.
  3. Maintain effective communication with clients and team members.
  4. Oversee the review and acceptance of purchase orders.
  5. Ensure that material and labor expenses are accurately allocated to the appropriate work orders in a timely manner.
  6. Coordinate payroll processes for the Service department.
  7. Ensure technicians log their hours on a daily basis.
  8. Examine billing backlog and collaborate with Area Service Managers, Field Technicians, clients, and warranty claims as needed to address and resolve challenges.
  9. Manage maintenance contract billing in accordance with contract stipulations.
  10. Review service tickets and execute the invoicing process for both internal and customer applications.
  11. Perform general administrative tasks to support Service operations.
  12. Establish service agreements in system applications based on transition documents.
  13. Document relevant correspondence, issues, meeting minutes, and other discussions.
  14. Investigate and collaborate with the ASM to resolve invoice disputes in preparation for monthly discussions.
  15. Participate in weekly meetings.
  16. Process and monitor service warranty claims.

Flexibility to work overtime/weekends, as required.


REQUIREMENTS:
  • One-year certificate from a college or technical institution; or six (6) months to two (2) years of relevant experience and/or training; or an equivalent combination of education and experience.
  • Proficient knowledge of office equipment and Microsoft Office applications.
  • Fundamental understanding of business financial principles and basic financial analysis is required.
