Position Overview:
The Purchasing Coordinator is integral to the procurement operations within the district's parts sector, as well as supporting service and installation teams and facilitating over-the-counter sales. This role is pivotal in nurturing vendor partnerships to optimize discounts, ensure timely deliveries, and enhance customer satisfaction.

Key Responsibilities:

  • Effectively communicate demand forecasts and replenishment strategies to suppliers.
  • Monitor open purchase requirements, assess vendor performance, and expedite orders as necessary.
  • Address any issues related to delivery, quality, or pricing with suppliers promptly to ensure resolution.
  • Process customer orders received from various internal teams.
  • Create, maintain, and manage purchase orders diligently.
  • Comply with company policies and procedures regarding purchase orders.
  • Order inventory in alignment with the Sales Inventory Operations Planning process.
  • Review invoices for purchased goods as required by the Accounts Payable department.
  • Develop and maintain stock programs that support rapid delivery timelines.
  • Conduct part identification and research, adjusting inventory levels based on lead time fluctuations.
  • Collaborate closely with service coordinators, project administrators, service managers, and installation managers to quote materials, parts, and equipment.
  • Undertake additional responsibilities as assigned.

Qualifications:
A High School Diploma or five years of relevant experience and/or training; an equivalent combination of education and experience is acceptable. An Associate's degree is preferred.

  • Proven ability to manage multiple priorities in a dynamic work environment.
  • Excellent customer service and communication skills, both verbal and written.
  • Intermediate to advanced proficiency in Microsoft Office Suite.
  • Strong organizational and time management capabilities.
  • Willingness to work outside standard hours when necessary.
  • Basic knowledge of refrigeration or familiarity with commercial refrigeration and HVAC systems is advantageous.
  • Exhibit a high level of professionalism and diplomacy.
  • Demonstrated decision-making skills, quick learning ability, rational thinking, and sound judgment.
  • Ability to work effectively in a diverse team setting.
  • Experience in process management and priority setting.
  • Capacity to work independently and collaboratively with minimal supervision.
