Office Operations Supervisor Employment Type:

Key Skills and Attributes:

  • This is a prominent, high-visibility role that necessitates the candidate's presence onsite five days a week.
  • The individual must be ready to engage closely with senior staff to complete tasks with minimal supervision.
  • The candidate should exhibit confidence in their interactions and maintain a professional demeanor and work ethic.
  • This position is crucial for the daily operations of the client. Only highly experienced candidates will be considered; this is not a role for those looking to develop into the position.
  • Schedule and coordinate executive meetings via digital platforms such as Zoom and MS Teams.
  • Set up and initiate hybrid meetings.
  • Collaborate with IT to address technical equipment issues.
  • Arrange travel plans using the designated application (training will be provided).
  • Reconcile travel expenses for senior executives using the designated application.
  • Be available to adjust travel arrangements as necessary once travel has commenced.
  • Manage incoming calls and direct them to the appropriate individuals.
  • Coordinate site events with dignitaries as required.
  • Facilitate scheduling with internal and external parties.
  • Direct correspondence to the relevant parties.
  • Organize workloads, processes, physical items, and spaces as necessary.
  • Schedule appointments.
  • Communicate on behalf of senior executives as needed.

Qualifications:

  • A minimum of four years of progressively responsible supervisory and management experience, demonstrating effective communication skills to interact successfully with clients or legal representatives.
  • Experience engaging with the public via telephone or at the front desk.
  • Experience in document management and maintenance.
  • Exceptional telephone etiquette.
  • Experience operating a multiline phone system.
  • Experience reviewing written documents for typographical accuracy, grammar, and spelling.
  • Experience or skill in managing the daily operations of a high-level office.
  • Experience in office organization or general business operations.
  • Proficiency with MS Office Suite – PowerPoint, Word, Excel, and Outlook.
  • Experience supervising and directing other office support personnel as necessary.
  • Ability to learn new software applications.
  • Must be a self-starter, quick learner, resourceful, and proactive.
  • Outstanding oral and written communication skills are essential.
  • A bachelor's degree is required.

Preferred Qualifications:

  • A law degree, advanced technical certification, or other relevant graduate degree is preferred.
