JM Family Enterprises is seeking a highly skilled Senior Administrative Assistant, Government Affairs to provide exceptional support to the Government Relations VP.

As a key member of the team, you will be responsible for managing the VP's schedule, coordinating travel arrangements, and handling expenses. You will also play a crucial role in coordinating political fundraisers and events, interacting with government officials, and tracking legislative updates.

Key Responsibilities:

  • Oversee the Government Relations VP's schedule, ensuring efficient time management and coordination of meetings.
  • Arrange travel plans, including booking flights, accommodations, and transportation, and manage related expense reports.
  • Serve as the event coordinator for political fundraisers and official visits, handling guest lists, itineraries, and event details.
  • Collaborate with the internal travel team to organize annual planning meetings with consultants and senior executives.
  • Coordinate meetings and correspondence with government officials and their staff.
  • Track and manage the filing of state and federal legislation, sharing updates with lobbyists, lawyers, and business unit associates.
  • Maintain and coordinate recordkeeping for the JMFE Political Action Committee (PAC), including working with accounting on donor receivables reconciliation.
  • Ensure timely payment of state and federal consultants and manage payment processing for special interest, community, and political affiliates.
  • Update and maintain the department's confidential database of political donations, and prepare check processing, spreadsheets, and PowerPoint presentations.
  • Work closely with the accounting department to meet deadlines and ensure accurate financial records.

Requirements:

  • A strong understanding of public affairs, the legislative process, and the dynamics of local, state, federal, and regulatory agencies.
  • Minimum of 5 years of experience in a similar administrative government affairs role.
  • Highly organized with the ability to work independently and handle multiple projects with speed, accuracy, and professionalism.
  • Excellent oral and written communication skills, with samples required during the interview process.
  • Advanced proficiency in MS Office products, including Excel and PowerPoint, with samples required during the interview process.
  • Experience with SharePoint and NetSuite, preferred.
  • Availability to work weekends and evenings when necessary.
  • Work arrangement is 100% on-site Monday-Friday during training period, then hybrid 3 days on-site/2 days from home.
