About the Role
The Mental Health Association of Westchester is seeking an experienced Administrative Assistant/Front Desk Coordinator to join our team in White Plains, NY. As a key member of our administrative staff, you will be responsible for providing exceptional customer service, managing front desk operations, and supporting our clinical team.
Key Responsibilities
- Provide warm and welcoming greetings to clients, visitors, and staff
- Manage incoming calls, take messages, and deliver them to staff in a timely manner
- Update and verify client demographics, process forms, and scan documents into medical records systems
- Schedule appointments, manage staff schedules, and maintain accurate records
- Provide information to clients regarding test locations, client portal use, and follow-up actions
- Verify health insurances, collect payments, and resolve outstanding balances
- Ensure payment control by collecting and processing payments in our designated system
- Receive and direct persons attending meetings, maintain a clean and organized reception area
- Perform other designated duties as needed
Requirements
- High school diploma or GED equivalent required
- Medical receptionist background: 1 year preferred
- Strong interpersonal and communication skills, bilingual in Spanish and English
- Detail-oriented, excellent time management skills, and ability to multitask in a fast-paced environment
- Basic knowledge of computer systems and Microsoft Office products
- Valid driver's license and satisfactory driving record
- New York State Defensive Driving certification
- Cleared by the NYS Justice Center and NYS Office of Children and Family Services
- Legally eligible to work in the United States
