Job Description

At Stone Tree, Inc., we specialize in custom processing and shipping of high-quality almonds produced on our family-owned orchards. Our dedication to quality products makes us a trusted partner for businesses worldwide.

We are seeking an experienced Order Processor/Documentation Specialist to coordinate the production and shipment of goods. The successful candidate will work closely with our production manager, broker, and logistics team to ensure seamless operations.

**Key Responsibilities:**

**1. Reporting and Documentation**

* Prepare and maintain accurate reports, including shipment schedules, crop inventory, and USDA almond incoming records.

**2. Sales Contract Processing**

* Enter contract details onto shipment schedules and ensure orders are shipped within contracted time frames.

* Coordinate with production staff to address and fulfill additional packaging marking requirements, adhering to labeling instructions required by destination countries.

**3. Lab Sample Processing**

* Ensure all samples are received for corresponding orders and accurately labeled.

* Complete laboratory analysis request forms accurately with the correct analysis.

**4. Shipping Documentation**

* Schedule and complete Phytosanitary certificates accurately in accordance with destination countries.

* Coordinate pickup and delivery of empty/full containers to/from the Port of Oakland.

* Process documents in accordance with buyer's standards and submit final shipment details to freight forwarders for Ocean Bill of Lading.

**5. Invoice Preparation and Dispatch**

* Prepare and dispatch original documents in a timely manner to avoid demurrage and detention fees.

**6. Communication and Customer Service**

* Respond to inquiries and requests related to contracts, shipment schedules, and documentation in a timely and efficient manner.

**Qualifications:**

* High School Diploma or equivalent required.

* Strong attention to detail and organizational skills.

* Ability to multitask, follow up, and work in a fast-paced environment.

* Excellent computer skills and experience with Microsoft Word and Excel.

* Familiarity with shipping terms and regulations.
