The Event Coordination Specialist plays a pivotal role in the planning, execution, and management of events. This position involves comprehensive responsibilities including menu design, scheduling, and room arrangements for various functions such as banquets, corporate gatherings, and personal celebrations.


Key Responsibilities:
  • Achieve and surpass monthly, quarterly, and annual sales objectives.
  • Develop and implement proactive sales strategies to promote the venue's event capabilities.
  • Engage with potential clients to generate new business and respond to inquiries effectively.
  • Conduct regular outreach to past and prospective clients to highlight event offerings.
  • Facilitate venue tours for interested clients and members.
  • Maintain and organize sales and customer data within the CRM system.
  • Assist clients in crafting memorable events, including selecting menus, entertainment, themes, and decorations.
  • Identify opportunities to enhance client experiences through additional services.
  • Finalize event bookings and ensure all necessary documentation is completed.

Event Management and Coordination:
  • Collaborate closely with the Event Operations Manager and Food & Beverage Director to ensure seamless event delivery.
  • Work alongside the Executive Chef to curate menus tailored to client needs.
  • Coordinate with the F&B Manager to create banquet beverage packages that align with client budgets.
  • Monitor the effective use of event spaces and pricing strategies to optimize profitability.
  • Assist in the setup and execution of assigned events, ensuring all details are attended to.
  • Prepare and confirm floor plans with clients prior to events.
  • Participate in weekly meetings to keep all departments informed about upcoming events.
  • Be present during events to liaise with clients and staff, ensuring smooth operations.
  • Support management in achieving departmental budget and sales targets.

Additional Responsibilities:
  • Ensure compliance with health and safety regulations.
  • Stay informed about industry trends and competitor offerings.
  • Participate in management meetings and training sessions.
  • Support club initiatives and other tasks as assigned by management.

Qualifications:
  • Minimum of 2 years of demonstrated success in event sales.
  • Hospitality or culinary management certification is a plus.
  • Must be of legal age to serve alcoholic beverages.
  • Willingness to work evenings, weekends, and holidays as needed.
  • Knowledge of food allergies and dietary restrictions.
  • Proficient in Microsoft Office Suite.
  • Familiarity with event management software is advantageous.
  • Able to stand or walk for extended periods.
  • Maintain a professional appearance in accordance with company standards.
  • Strong organizational and time management skills.
  • Effective communication skills with diverse personality types.
  • Ability to prioritize tasks and manage multiple projects efficiently.
