Job Overview

Position Title: Appointment Coordinator

Reports To: Director of Patient Access

SUMMARY OF ROLE:

This collaborative role involves managing incoming communications, scheduling, rescheduling, and canceling patient appointments, as well as directing inquiries to the appropriate departments. The position requires processing electronic referrals and performing various administrative tasks as needed. A professional demeanor, compassion, attention to detail, and excellent communication and customer service skills are essential for thriving in a fast-paced environment.

Key Responsibilities:

  • Efficiently answer phone calls with clear and positive communication.
  • Register patients and accurately input demographic data into the system, including contact information and insurance details.
  • Collaborate with the billing department to verify insurance eligibility and referral requirements.
  • Assess patient needs and schedule appointments with the appropriate healthcare providers.
  • Confirm appointment details, including date, time, location, and provider.
  • Prepare patients for their appointments by informing them of necessary items to bring and other relevant details.
  • Communicate cancellation and no-show policies to callers.
  • Provide information and answer questions to ensure a patient-centered experience and foster a positive impression of the organization.
  • Utilize Athena EMR effectively for scheduling and internal communication.
  • Build and maintain strong professional relationships with team members.
  • Perform additional tasks as assigned by management to support departmental objectives.

Qualifications:

  • High school diploma with the ability to handle confidential information responsibly.
  • Availability to work necessary hours, including occasional weekends.
  • Strong telephone communication skills.
  • Ability to thrive in a call center environment, managing multiple tasks efficiently.
  • Capability to handle sensitive information with discretion.
  • Exhibit professionalism and courtesy in all interactions.
  • Demonstrate compassion and understanding towards callers.
  • Provide excellent customer service.
  • Work effectively in a team-oriented setting.
  • Proficient in computer operations and Microsoft applications.
  • Ability to type accurately and quickly while engaging on calls.
  • Relevant experience in medical office settings is preferred, but training is available for strong candidates.
  • Maintain a professional and tidy appearance.
  • Adhere to ethical work practices.
  • Proficiency in Spanish and/or Portuguese is advantageous.
  • Willingness to travel to various locations as needed.
