Job Summary:

The Museum of Science is seeking an experienced Executive Assistant to provide high-level administrative support to the Chief Marketing Officer and the Marketing and Communications Divisional leadership team. The successful candidate will be responsible for ensuring the smooth operation of the Division, including handling financial reporting, coordinating meetings, managing projects, and overseeing office systems and supplies.

Key Responsibilities:

* Assist the CMO in coordinating meetings, scheduling appointments, and managing calendars
* Provide administrative support for the Division, including handling financial reporting, invoicing, and budgeting
* Manage the Division's office systems and supplies, including procurement and inventory management
* Coordinate travel arrangements, prepare itineraries, and make travel arrangements as needed
* Develop and maintain spreadsheets, databases, and other tools to support the Division's operations

Requirements:

* 5+ years of experience in an administrative role, preferably in a marketing or communications environment
* Proven ability to work independently and as part of a team
* Excellent communication and organizational skills
* Ability to maintain confidentiality and handle sensitive information
* Proficiency in Microsoft Office Suite, including Excel, Word, and PowerPoint
