Position Summary

As a Clinic Lead, under the guidance of the Operations Manager, you will be responsible for a range of support functions that include managing the daily operations of the clinic. This role requires close collaboration with staff, patients, and physicians to ensure seamless clinic flow. You will oversee the day-to-day activities at the designated practice location, assist in staff training, and communicate effectively with the Operations Manager to achieve the clinic's objectives while managing multiple tasks efficiently.

Key Responsibilities:

  • Prepare for the opening and closing of the clinic, ensuring all appointments are managed effectively.
  • Confirm that scheduled patients have completed necessary documentation and that front office staff are informed of protocols, including assisting with patient check-in and check-out.
  • Work collaboratively with staff and healthcare providers to ensure the availability of essential equipment and supplies.
  • Assist in organizing, rescheduling, and updating patient schedules, providing side-by-side training as needed.
  • Communicate vital information to physicians and update staff and leadership accordingly.
  • Conduct inventory checks and manage the stocking of medical supplies, ensuring drug inventory logs are maintained.
  • Perform various patient assessments and document findings in the EMR system, including testing visual acuity and conducting imaging procedures.
  • Assist physicians during patient examinations and procedures, documenting relevant patient history and exam results in the EMR.
  • Ensure proper authorization and verification of insurance eligibility for scheduled procedures.
  • Facilitate daily team meetings to address clinic-related issues and manage patient relations effectively.
  • Act as a Subject Matter Expert (SME) for practice staff, providing necessary tools and resources for success.
  • Maintain compliance with HIPAA regulations and privacy guidelines while monitoring staff activities.
  • Update patient information in the medical database and practice management systems as required.
  • Ensure sterilization of equipment and restocking of examination rooms, managing inventory and ordering supplies as necessary.
  • Identify and address patient needs, providing solutions and alternatives when appropriate.
  • Assist the Operations Manager with additional tasks as needed and meet departmental performance targets.
  • Comply with all relevant regulations and maintain patient confidentiality at all times.
  • Perform other duties as assigned.

Accountability: Ensure patient satisfaction through professional and courteous service. Complete assigned competencies within the specified timeframe.


Qualifications:

  • Strong patient relations skills with the ability to manage multiple tasks effectively.
  • Minimum of one year of experience in a medical clinic setting.
  • Two years of experience with EMR/EHR systems.
  • Preferred one year of experience in a leadership or supervisory role.

Education:

  • High school diploma required; college degree or relevant continuing education preferred.

Physical Requirements:

  • Ability to remain stationary for extended periods and move throughout the office to assist patients and access supplies.
  • Capability to lift up to 50 pounds and communicate effectively with patients.

Travel Requirements:

  • Potential travel between multiple clinic locations may be necessary.

Equipment Used: Proficiency in using office equipment such as computers, copiers, and medical devices.
