Position: Logistics Receiving Supervisor

Employment Type: Full-Time, direct hire, project-based, 50-60 hours work week

Position Overview

The Logistics Receiving Supervisor is tasked with overseeing the reception, inspection, management, storage, issuance, and reporting of all materials procured for the site, as well as those sent to external fabricators.

Key Responsibilities

  • Establish grid locations for all warehouse storage to accurately identify temporary or permanent storage areas (both indoor and outdoor) and laydown yards on-site and off-site as necessary, while maintaining a log of all materials stored.
  • Upon receipt, document any visible damage that may have occurred during transit. Ensure that the driver's freight bill is appropriately annotated, and that the site copy reflects any damages.
  • Assess weights, dimensions, storage needs, and verify any Material Safety Data (MSD) information for each item prior to unloading.
  • Unpack all shipments, conduct a thorough inventory, and reconcile with the shipper's packing lists for part numbers and quantities received.
  • Cross-check the vendor's packing list against the Purchase Order (PO) or client-provided PO to ensure that the received items align with the order.
  • Generate a control or Material Receipt Report (MRR) number from the MRR Log and record both MRR and PO numbers on the product packing slip, indicating the storage location on the vendor's packing list.
  • Document receiving data on the MRR form, including the actual receipt date, PO Number, vendor name, shipper's name, carrier's name, and reference numbers, along with PO item numbers, quantities, units of measure, descriptions, storage locations, and Overage/Shortage/Error/Damage (OSED) details.
  • Digitally archive a copy of the MRR into an MRR folder within each PO folder on the shared drive for staff and accounts payable access.
  • Prepare a daily receiving report and a master receiving log to be distributed by noon the following day.
  • Manage the OSED Reporting Process by generating reports for any discrepancies in shipments.
  • Identify overages in relation to both the PO and packing list.
  • Report any shortages when the received quantity is less than what the vendor claims was shipped.
  • Issue error reports for any items shipped by the vendor that do not match the details specified in the PO, including discrepancies such as incorrect size, material, or part number.
  • Document all damage with photographic evidence and note any visible damage on the carrier's freight bill.
  • Forward all OSED reports to the vendor of record, regardless of whether the shipment was made by a third party.
  • Database Management - Develop and maintain a comprehensive database or filtered Excel spreadsheet for tracking the reception, storage, and issuance of all permanent plant materials, including: Valves; Instruments; Fabricated Pipe Spools; Structured Steel; Cable Trays; Cable Trenches; Wires/Cables; Mechanical Specialties; Turbine Materials; and HRSG Materials.
  • Filing of Site Purchase Orders - Scan original packing slips and store them in MRR folders within the appropriate PO folder after verifying materials against the PO.
  • Safeguard all original packing slips.
  • Preferred Qualifications/Experience
  • 4+ years of experience in a Receiving Manager role (or similar) on large-scale projects.
  • Proficient computer skills are essential, particularly in Microsoft Excel.
  • Exceptional organizational skills and meticulous attention to detail are required.
  • Demonstrated ability to effectively manage personnel.
  • Physical Requirements
  • Ability to lift up to 50 pounds.
  • Willingness to work in various weather conditions.
  • Extensive walking may be necessary on certain days.
