Employment Type: Full-Time, direct hire, project based, 50-60 hours per week

Position Overview

The Logistics Receiving Supervisor is tasked with overseeing the reception, examination, preservation, storage, distribution, and documentation of all materials acquired for the project, including those sent to external fabricators.

Key Responsibilities

  • Establish and manage designated storage areas for all warehouse materials, ensuring accurate tracking of both temporary and permanent storage locations, including outdoor laydown yards when necessary.
  • Upon arrival of shipments, inspect and record any visible damages that may have occurred during transit. Ensure that the delivery documentation reflects these findings appropriately.
  • Assess weights, dimensions, and storage specifications, while verifying any Material Safety Data (MSD) information for each item before unloading.
  • Unpack all shipments, conduct a thorough inventory, and cross-check with the shipping documents for accuracy in part numbers and quantities.
  • Validate the vendor's packing list against the internal Purchase Order (PO) or client-supplied PO to ensure the accuracy of received goods.
  • Generate a Material Receipt Report (MRR) number from the MRR Log and annotate the MRR and PO number on the packing slip, including storage location details.
  • Document receiving information on the MRR form, including the actual receipt date, PO Number, vendor details, carrier information, and specifics regarding item numbers, quantities, and any discrepancies.
  • Digitally archive a copy of the MRR in the designated folder for each PO on the shared drive for team and accounts payable access.
  • Compile and distribute a daily receiving report along with a master receiving log by noon the following day.
  • Manage the Overage/Shortage/Error/Damage (OSED) reporting process, generating reports for any inconsistencies in shipments.
  • Identify and document any overages or shortages against the PO and packing list.
  • Report discrepancies when received quantities differ from those indicated by the vendor.
  • Document any errors when received items do not match the PO specifications, including incorrect sizes, materials, or part numbers.
  • Photographically document all damages and ensure that these are noted on the carrier's freight bill.
  • Forward all OSED reports to the respective vendor, regardless of shipment origin.
  • Database Management - Develop and maintain a comprehensive database or organized Excel spreadsheet to track the receiving, storage, and distribution of all permanent plant materials, including valves, instruments, fabricated pipe spools, structural steel, cable trays, and other mechanical specialties.
  • Organize Site Purchase Orders - Scan and file original packing slips into the appropriate MRR folders after confirming materials against the PO.
  • Safeguard all original packing slips for record-keeping purposes.
  • Qualifications and Experience
  • A minimum of 4 years of experience in a Receiving Manager role or similar capacity on large-scale projects.
  • Proficient in computer applications, particularly Microsoft Excel.
  • Exceptional organizational abilities and meticulous attention to detail are essential.
  • Demonstrated capability to effectively manage personnel.
  • Physical Requirements
  • Ability to lift up to 50 pounds.
  • Willingness to work in varying weather conditions.
  • Physical stamina for extensive walking may be required on certain days.
