Position Summary: Our clinics deliver individual, group, family, and medication services for individuals across all age groups and a variety of behavioral health conditions. The Receptionist/Front Desk Administrator plays a crucial role in managing all reception functions necessary for the efficient operation of the clinic. This role requires positive and courteous interactions with clients, staff, and other community organizations, adhering to a person-centered, trauma-informed approach in line with the values of Greater Mental Health.

Key Responsibilities:

  1. Collect and verify client consent.
  2. Manage incoming calls during clinic hours, maintaining a professional and courteous phone demeanor.
  3. Handle messages from the general voice mailbox and relay them to appropriate staff members.
  4. Welcome and greet all clients and visitors, whether in person or via phone.
  5. Maintain accurate records of clients seen each day.
  6. Coordinate all staff clinical schedules, including appointments, cancellations, and will-call lists.
  7. Schedule and reschedule client appointments accurately.
  8. Process payments received from clients.
  9. Direct individuals attending meetings appropriately.
  10. Collaborate with the program/clinic assistant to ensure the availability of client forms and surveys.
  11. Maintain an adequate supply of new client materials.
  12. Receive general clinic mail and other deliveries.
  13. Ensure the reception area is clean and organized.
  14. Perform other designated duties as required.

Qualifications:

  1. High school diploma/GED/TASC equivalent required; a clerical or Administrative Assistant certificate is preferred.
  2. Willingness to travel to other Greater Mental Health locations for coverage as needed.
  3. Proficient in computer skills, with a solid understanding of Microsoft Office Suite (Excel, Word, PowerPoint) and general office procedures.
  4. Experience with electronic health records is preferred.
  5. Fluency in Spanish is required.
  6. Familiarity with operating general office equipment.
  7. Adherence to the agency's policies, procedures, and professional code of ethics is essential.
  8. Confidentiality must be maintained regarding all client information.
  9. Must be organized, demonstrate good judgment, and complete tasks effectively.
  10. Reliability and the ability to work independently while understanding the importance of confidentiality are crucial.
  11. Flexibility to receive assignments from various supervisors is necessary.
  12. Must maintain pre-employment clearances as required by applicable regulations.
  13. Legal eligibility to work in the United States is mandatory.
