Job Summary

We are seeking a highly motivated Administrative Specialist to join our team in the Houston office. The successful candidate will provide clerical and administrative support to the Office Administrator and assist other Managers. This is a full-time, non-exempt position with excellent benefits resident in the Houston office.

Key Responsibilities
  1. Provide administrative support to Office Administrator, including reconciling invoices, preparing check requests, and processing American Express bills.
  2. Assist with planning, set up, and break down of various office-wide special events, including decorating and signage.
  3. Correspond with vendors, submit vendor and employee conflicts checks, and book conference rooms for Firm meetings.
  4. Responsible for inputting and deleting data in the Firm's centralized security system, including training of local security support.
  5. Assist Office Services Manager with various projects and facilities-related issues, including submitting requests to building management.
  6. Book travel arrangements for the Office Administrator, including flights and hotel accommodations.
  7. Conduct Internet research as assigned and assist with coordinating fire warden program/emergency preparedness program.
  8. Actively involved in office-wide activities committee, including planning phase, meeting agendas, and execution of events and clean-up.
Requirements
  1. Four-year college degree in General Business or a related field is strongly preferred.
  2. A minimum of two to three years of experience in a professional business environment, responsible for a variety of administrative support duties.
  3. Ability to gather data, compile information, and prepare reports, as well as verify data input and correct errors.
  4. Ability to communicate effectively, both orally and in writing, and interact with people over the telephone, often in stressful situations.
  5. Ability to perform detailed work accurately, thoroughly, and consistently, and prioritize, multi-task, and work in a fast-paced environment.
Working Conditions and Environment
  1. Work is normally performed in a typical office work environment.
  2. Position is full-time and requires a five-day workweek and standard hours as outlined in the firm policy manual.
  3. Must be available to work overtime, including weekend hours, when necessary to meet established deadlines or stay current with occasional peaks in workload.
