Overview:
The Fundraising and Event Coordination Specialist will assist in the execution of both internal and external events and fundraising initiatives.

This role is pivotal in overseeing operations, logistics, vendor partnerships, event registration, volunteer management, promotional activities, and peer-to-peer (P2P) fundraising efforts.

The individual will be tasked with identifying potential donor prospects, generating reports, managing databases, and updating systems. This position will serve as a representative of the Institute on various committees, events, and public relations/media engagements.

The incumbent will create content and collaborate effectively to ensure that events are conducted with professionalism and achieve high-quality results, contributing to the Institute's annual objectives in unrestricted private-sector funding.


Responsibilities:


Oversee the operational and administrative aspects of Institute events (e.g., Festival of Trees, ROAR for Kids, etc.), which includes recruiting and coordinating volunteers, managing logistics, vendor relations, participant support, delivery coordination, maintaining event databases, offline registration/donations, attendance tracking, and developing promotional strategies.

Act as a liaison to chairpersons and committees for both Institute and external (i.e., third-party and community) fundraising events. Represent the Institute in negotiations, contracts, planning, policy formulation, recommendations, and event evaluations.


Maintain relevant databases, conduct research, analyze, and identify new 'In-kind' donor prospects for various events (i.e., Festival of Trees, ROAR, Baltimore Running Festival, etc.).


Develop new fundraising initiatives as necessary using DonorDrive (an online fundraising platform). Update P2P content on the fundraising platform and Philanthropy website, including participant pages, event announcements, and coaching communications.

Regularly generate and distribute both standard and ad-hoc reports as required.


Assist the Director of Special Events in the strategic planning process for future events through retrospective assessments of profitability, participation, and operational effectiveness.

Research and propose publication strategies. Draft and develop articles, correspondence, and event notifications for various publications and calendars regarding events/fundraisers benefiting the Institute.


Collaborate with event organizers and the Marketing and Public Relations department to ensure that all marketing and promotional materials are approved, received, and disseminated for events.

Formulate, assess, and revise rules and guidelines for Festival of Trees product design to ensure compliance and consistency. Make decisions on requested exceptions, evaluate the appropriateness of designs, and provide recommendations.

Authorize designs, pricing structures, and items sold at the Festival of Trees. Coordinate sales and deliveries, and address any related concerns.

Qualifications:

EDUCATION:
A High School diploma or equivalent is required.

A Bachelor's degree in a related field is preferred.

EXPERIENCE:
A minimum of 2-4 years of experience in event planning, meeting and event management, or a related field is required.

Professional experience in Development, Non-Profit, Events, Public Relations, Marketing, or Advertising is desirable.

Experience in peer-to-peer fundraising and familiarity with Blackbaud/DonorDrive software is highly preferred.
