Position Overview
As a key member of the Finance Department, the Grant Financial Specialist will report to the Director of Finance and collaborate closely with Grant Managers to manage a diverse portfolio of federal and non-federal grants. This role involves the ongoing management and preparation of financial reporting and analysis related to grants.

The Grant Financial Specialist will support the Development team in crafting budgets for new grant proposals, ensuring compliance with FPHNYC's accounting policies and funder requirements, including the Cost Principles for Non-Profit Organizations.

Key Responsibilities
- Assist in the development of program budgets for grant proposals, including modifications and renewals for existing programs.
- Collaborate with the Director of Finance on the agency-wide budget process and conduct periodic analyses of budget versus actual reports.
- Support single audits and financial statement audits, including analysis of functional expense fluctuations greater than 10%.
- Maintain payroll allocations and analyze payroll expenses against the general ledger and budgeted figures.
- Upload approved budgets and ensure accurate budget maintenance throughout the grant year using accounting software (MIP Abila).
- Prepare financial vouchers for government and private grants and maintain an accounts receivable log with supporting documentation.
- Analyze encumbrance reports and collaborate with grant managers to modify or liquidate balances at the end of the grant year.
- Review the general ledger to identify unallowable costs charged to grants and process necessary corrections.
- Approve grant-specific expenses and purchase orders within the internal purchase order system (Microix).
- Update financial reports to reflect the status of programs on a grant-to-date basis, enabling:
- Tracking and analysis of contract spending by funding category.
- Evaluation of programs through comparisons of actual performance against budgeted objectives.
- Interpretation of financial information for practical use by Project Directors and Grant Managers, identifying issues for resolution.
- Monitor compliance with grant funding regulations and provide technical guidance to program staff regarding allowable and unallowable costs.
- Prepare additional grant-specific reports as necessary.
- Collaborate with Grant Managers to prepare all interim and final financial reports in accordance with grant agreements.
- Assist with other assigned tasks as needed.

Qualifications
- Bachelor's degree in accounting, finance, public administration, business administration, or a related field; a Master's degree is a plus.
- Minimum of three years of experience in a non-profit organization, foundation, or university as a financial analyst, grant accountant, budget analyst, or equivalent role.
- Strong preference for experience with government grants.
- Understanding of Federal, State, and New York City funding and reporting requirements.
- Demonstrated experience with Federal Cost Principles (OMB Circular A-122) and GAAP as they pertain to non-profit organizations.
- Budgeting experience with the ability to develop, monitor, analyze, and forecast budgets.
- Familiarity with Single Audit, SEFA preparation, and temporary restriction analysis.
- Proficient in Microsoft Excel (pivot tables, v-lookups) and experience with accounting databases (MIP) and Intacct.
- Detail-oriented, proactive, and capable of executing tasks with high accuracy and efficiency.
- Excellent analytical, problem-solving, communication, and interpersonal skills, with the ability to work collaboratively with colleagues.
- Ability to translate complex financial concepts for non-financial project managers and provide exceptional internal customer service to program partners.

Work Schedule
