Position Overview

The Office Administration Coordinator will be responsible for delivering essential support services at our corporate headquarters. This role encompasses a variety of administrative functions, reception duties, vendor coordination, and other assigned tasks. The successful candidate will work closely with the Administrative Services Manager and the Facilities and Real Estate Services (FRES) team.

Key Responsibilities

  • Exemplify the mission, values, and beliefs of Telecare in all interactions with internal and external stakeholders.
  • Provide comprehensive administrative support to ensure smooth office operations.
  • Manage reception duties on a rotating schedule, including answering incoming calls and directing them appropriately.
  • Welcome visitors, assess their needs, and provide necessary guidance.
  • Notify relevant staff of visitor arrivals and manage incoming deliveries.
  • Coordinate the use of conference rooms and oversee mailroom equipment.
  • Process invoices and maintain accurate records in the accounting system.
  • Monitor and order office supplies, kitchen provisions, and janitorial necessities.
  • Assist in planning and executing corporate events and functions.
  • Operate and manage security systems, including access control and alarm systems.
  • Foster positive working relationships with team members and promote a collaborative environment.
  • Identify and recommend improvements to enhance operational efficiency.

Qualifications

Required:

  • High school diploma or GED.
  • A minimum of three (3) years of experience in administrative support or office management.
  • Must be at least 18 years of age.
  • Valid driver's license and proof of auto insurance required for driving duties.

Skills and Competencies

  • Strong administrative and organizational skills.
  • Proficiency in Microsoft Office applications (Word, Excel, PowerPoint, Adobe Acrobat).
  • Ability to perform tasks with a high degree of accuracy and minimal supervision.

Physical Requirements

The physical demands of this position include occasional walking, standing, twisting, pushing, pulling, and lifting items weighing up to 25 pounds. Frequent reaching and bending are also required.
