Medasource is seeking a detail-oriented Grants and Contracts Assistant to support our esteemed Academic Research centers. This role involves collaboration with the office of sponsored programs, ensuring that service accounts are monitored and grant-sponsored portals are consistently updated.

Role Overview:

The Grants and Contracts Assistant (GCA) will become an integral part of a team dedicated to providing exceptional support to the Office of Sponsored Programs Administration (OSPA). This position requires outstanding customer service and interpersonal abilities, as the GCA will engage with various administrative and research support personnel, investigators, and university representatives to facilitate the processing of externally sponsored programs and agreements.

Key Responsibilities:

  • Input proposal details and updates into institutional information systems (e.g., PeopleSoft, Workday, iRIS, Cayuse).
  • Establish and maintain chartfields based on awards and agreements, ensuring precise data entry and upkeep within the institutional systems.
  • Handle award modification transactions within the institutional information systems.
  • Provide guidance to investigators and sponsors regarding the status of proposals and awards, addressing inquiries related to compliance, university policies, and administrative procedures associated with sponsored programs.
  • Conduct quality assessments of entries in the institutional information systems, making corrections or revisions as necessary.
  • Manage closeout and archiving responsibilities.
  • Oversee email service accounts and phone communications, distributing incoming tasks to the appropriate staff or units.
  • Generate and disseminate reports for OSPA, EVPRI, and university metrics, including office performance, award receipt, data integrity, and pre-award guarantees.
  • Facilitate sponsor establishment and maintenance tasks.
  • Provide support for other Grants and Contracts Assistants, GCA Senior, and Grants & Contracts Manager as needed.
  • Perform additional duties as assigned.

Minimum Qualifications:

  • Bachelor's Degree or an equivalent combination of education and relevant work experience.
  • Proficient in Microsoft Office Suite.
  • 0-2 years of experience in higher education sponsored programs or research administration.
  • Strong oral, written, and interpersonal communication skills.

Preferred Qualifications:

  • Familiarity with electronic systems and databases (e.g., PeopleSoft Financials, Workday, iRIS, Cayuse).
  • Prior experience in customer service roles.
