Front Desk Associate

Responsibilities:
* Manage day-to-day communication at the front desk, including answering phone calls, responding to emails, and directing visitors to the appropriate destination.
* Greet visitors, staff, and residents in a professional and courteous manner.
* Supervise sign-in procedures, ascertain the nature of business, and direct visitors to the appropriate destination.
* Operate office equipment, including computers, copiers, and fax machines.
* Control the use of DVD players, Roku, and stereo-radio systems.
* Use the paging system as required, including radio pagers and mobile telephones.
* Coordinate staff during fire and emergency disaster drills, following instructions from security and fire and police departments.
* Assist residents with copying, faxing, and scanning.
* Monitor the Emergency Control Panel and report emergency signals to Security.
* Monitor and control Gate Access.
* May assist residents with internet searches and researching information.
* Answer resident, family member, and staff questions over the phone or in person regarding Westminster Village and its departments.
* Manage the Reception email account, sending communications regarding resident hospital admissions and discharges, resident out of town notices, internal moves, and other resident-related communications to staff.
* Submit maintenance, housekeeping, and IT work orders.
* Maintain an accurate list of on-call maintenance and housekeeping staff to contact when necessary.
* Submit resident grocery orders to grocery store partners.
* Process charges of services and goods in the Point-of-Sale system.
* Produce signage for posting around campus when necessary.
* Maintain professionalism and high levels of customer service at all times in conversations over the phone and in person.
* Maintain the front desk area in a clean and presentable manner.
Requirements:
* High school diploma or equivalent preferred.
* Experience in using a multi-line telephone system required.
* Prior senior living experience preferred.
* Customer service experience preferred.
* Ability to speak, read, and write in English. Ability to communicate effectively using proper speech, grammar, and pleasant voice.
* Prior experience in reception and clerical-type duties preferred.
* Strong computer skills, including use of Microsoft Office required.
Physical Demands:
* Ability to sit for a prolonged amount of time.
* Ability to stoop, kneel, reach, and squat.
* Ability to push a resident in a wheelchair (up to 300 pounds); lift up to 50 pounds.
