Position Overview
The Client Support Specialist plays a crucial role in the customer service department, collaborating closely with Dispatchers, clients, and team members to ensure seamless operations. This role is initially part-time but has the potential to transition into a full-time opportunity.
Key Responsibilities
- Assist Dispatchers and Managers in accurately building orders and ensuring compliance with loads.
- Act as the primary contact for inquiries from drivers, customers, and management regarding freight movement.
- Ensure that drivers are equipped with the necessary resources to operate safely and in accordance with regulations.
Reporting Structure
The Client Support Specialist will report directly to the Director of Operations and will interact with various management levels, dispatchers, and leaders across different business sectors.
Essential Duties
- Generate Truck Orders (TOs) and collaborate with Dispatchers to monitor loads and address inquiries.
- Support brokers with Less-Than-Truckload (LTL) scheduling and shipment tracking.
- Oversee the scanning and imaging of delivery receipts.
- Engage directly with customers to resolve service-related inquiries.
- Ensure all necessary permits are secured and accessible, maintaining thorough accuracy throughout the process.
- Provide administrative support to Dispatch as needed.
- Serve as a backup for basic dispatch functions during off-duty periods.
- Utilize the Dispatching system (TMW) to manage customer loads and coordinate with drivers.
- Monitor on-time orders and assess driver efficiency to surpass customer expectations.
- Administer backhaul functions by engaging with the DAT board.
- Facilitate the setup of new customers for E-Stat tracking.
Qualifications
The ideal candidate will possess:
- A general understanding of freight and logistics, with the ability to manage logistics loads effectively while meeting customer expectations.
- Strong analytical skills and attention to detail.
- The capacity to multitask and meet deadlines with a solution-oriented approach.
- A sense of urgency and ownership in driving projects to completion.
- Excellent communication skills and professionalism when managing relationships with drivers and customers.
- A proactive and energetic demeanor to foster confidence among Dispatchers, Drivers, and Customers.
Education and Experience
A preference for candidates with an Associate's Degree or relevant work experience. Strong organizational skills and the ability to thrive in a dynamic, fast-paced environment are essential. Proficiency in Microsoft Suite (Word, Excel, etc.) and experience with the TMW system for load management are also required.
