Job Summary

Shannon & Wilson is a leading consulting firm dedicated to technical excellence and high-quality service. We provide integrated geotechnical engineering, engineering geology, environmental, and natural resource services for clients worldwide. As an HR Administrative Assistant/Coordinator, you will play a vital role in supporting the HR Department, ensuring seamless record-keeping, file maintenance, and HRIS entry. You will also provide administrative support to the Executive Assistant to the President of Shannon & Wilson.

Responsibilities
  • Assist the HR Department in carrying out various human resources programs and procedures for all company employees.
  • Perform routine filing, scanning, and archiving of records to ensure record retention compliance.
  • Support the Talent Acquisition Partner with posting job ads, screening resumes, conducting phone screens, scheduling interviews, reference and background screening, and creating offer letters.
  • Data management within our HRIS system and report writing.
  • Support new employee orientation and on-boarding.
  • Responsible for maintaining the milestone recognition program.
  • Provide ongoing support to the Executive Assistant, including filing all contracts, registrations, collection letters, and master service agreements.
  • Responsible for set-up and clean-up for Board/Office Manager meetings.
  • Help coordinate logistics for company-wide trainings.
  • Perform other related duties as assigned.
Requirements
  • Bachelor's degree preferred or combination of relevant experience and high school diploma.
  • 1-4 years of prior experience.
  • Experience with HRIS database is preferred, Paylocity experience a plus.
  • Excellent telephone, verbal, and written communication skills.
  • The ability to keep sensitive information confidential.
  • Excellent organizational skills and attention to detail.
  • Enthusiastic collaborator willing to partner with others to achieve results together.
  • Strong critical thinking skills.
  • Good ethical judgment.
  • Excellent interpersonal and customer service skills.

Level Placement

Typically, depending on an applicant's education, experience, other qualifications they possess, if they are a fit for the company and local office culture, and the current business needs.

  • Salary range: $24.00 - $29.00 per hour.
