We are currently in search of a detail-oriented and organized Procurement Specialist to enhance our pharmacy operations. This pivotal role involves overseeing the management of our inventory, including the procurement of medications and supplies. The Procurement Specialist will be tasked with maintaining an accurate inventory list, managing back orders, conducting cycle counts, and generating reports to support our operational needs.

Key Responsibilities:

Purchasing & Supplier Relations:

  • Identify and procure medications and supplies from authorized vendors.
  • Establish and nurture strong relationships with suppliers to ensure timely and precise deliveries.

Inventory Oversight:

  • Keep the master inventory list current, ensuring all items are accurately documented and easily accessible.
  • Perform regular cycle counts to confirm inventory levels and promptly address any discrepancies.
  • Oversee back orders by monitoring outstanding orders and collaborating with suppliers to expedite fulfillment.

Reporting & Analysis:

  • Examine inventory reports, including usage patterns and stock levels, to identify purchasing trends.
  • Deliver regular updates to management regarding inventory status, back orders, and procurement activities.
  • Pinpoint opportunities for cost savings and inventory efficiency.

Compliance & Record Keeping:

  • Ensure adherence to all applicable regulations and standards governing pharmaceutical inventory management.
  • Maintain precise records of all purchases, inventory movements, and supplier interactions.
  • Assist with audits and inspections by providing necessary documentation and reports.

Collaboration & Communication:

  • Work closely with the pharmacy team to assess inventory requirements and adjust procurement strategies accordingly.
  • Effectively communicate with internal stakeholders to align inventory levels with operational needs.
  • Coordinate with the finance department to ensure timely supplier payments and resolve any billing discrepancies.

Qualifications:

  • High school diploma or equivalent required; a degree in business, supply chain management, or a related field is preferred.
  • A minimum of 2 years of experience in inventory management or procurement, ideally within a pharmacy or healthcare environment.
  • Strong analytical and problem-solving abilities.
  • Exceptional attention to detail and organizational skills.
  • Proficient in inventory management software and Microsoft Office Suite.
  • Ability to negotiate and manage supplier relationships effectively.
  • Strong communication and interpersonal skills.
