Facilities Operations Coordinator: Scaling Up

Job DescriptionWe're seeking a Facilities Operations Coordinator to manage day-to-day facility activities at our site in support of business execution, product development, and growing operations on our government/DOD customer contracts and internal research and development efforts.
Responsibilities- Facility Management:
- Coordinate daily site activities to ensure employees, vendors, and visitors can carry out operations effectively and safely.
- Work closely with facilities partners to coordinate, schedule, and manage completion of operations activities.
- Perform basic administration activities at the site at the direction of various departments and leadership teams (e.g., ordering office supplies, assisting with team events).
- Shipping and Receiving:
- Oversee shipping and receiving processes, ensuring all incoming and outgoing shipments are handled promptly and accurately.
- Track shipments, manage shipping documentation, and address any issues that arise.
- Regularly check and distribute incoming mail and packages, directing important correspondence to the appropriate team members promptly.
- Procurement:
- Coordinate with the Engineering Team to find, source key vendors, and manage communications.
- Update the Engineering Team on timelines and progress from vendors.
- Collaborate with the Engineering Team on all items needed to be purchased by the company.
- Maintain accurate records of all office operations, including financial transactions, correspondence, and inventory.
- Inventory:
- Develop and oversee a tracking system for all items in the shop.
- Develop and coordinate with the Engineering and Financial Teams to track individual items and unit costs of items employed in prototypes, ensuring an accurate understanding of prototype costs.
- U.S. citizenship is required.
- Typically requires a Bachelor's degree in a relevant field and 3 years of prior relevant experience or an Advanced degree and 1 year of prior relevant experience.
- Experience working in Operations, Facilities, Construction, Project Management, or Construction Management is preferred.
- Experience working on Government or DOD programs is highly desirable.
