Job Title: Director of Operations, HCLAS Dean's Office

The Director of Operations will report directly to the Dean and be responsible for managing the daily operations of the Dean's Office. This includes coordinating cross-functional projects, prioritizing workflow, and making recommendations to improve operations, efficiency, and timeliness.

Key Responsibilities:
  • Coordinate the Dean's daily schedule and support the Dean in focusing on key priorities through strategic calendar and task management.
  • Manage daily operations of the office, including oversight of vacation calendars and coordination of the work of support staff.
  • Leverage technology to improve office processes and workflows, and coordinate among offices to drive results.
  • Plan, execute, and monitor various processes and functions as the office's process innovation driver.
  • Address challenges and proactively identify solutions, easing bottlenecks and making processes more efficient.
  • Build relationships with academic and administrative units to support workflow improvement.
  • Help coordinate cross-functional projects to achieve project goals using technology-driven platforms.
  • Provide project management capacity to the Dean and proactively plan for upcoming meeting agendas, events, and gather documents and data from various stakeholders to support them.
  • Assist the Dean in implementing operational strategies that align with the University's goals.
  • Define office processes and identify key performance indicators that align with the University's and the Dean's priorities.
  • Act as a liaison between the Dean's Office and other stakeholders, as needed.
  • Occasionally represent the Dean's Office at meetings that pertain to the Director's areas of responsibility.
  • Coordinate submissions to the Provost's Office.
  • Produce and manage content for various communication channels.
  • Liaise with University Marketing to drive content for University-wide venues.
  • Monitor media channels for any content that the office should be aware of (crisis communications, PR management, etc.).
  • Organize and maintain the office's shared drives, ensuring that our documentation is well organized, appropriately archived, and digitally easy to access.
  • Experiment to find better technology-driven organization and storage solutions.
Qualifications:
  • Bachelor's degree required.
  • Minimum 5 years of related experience.
  • Strong project management skills.
  • Excellent interpersonal skills.
  • Ability to establish excellent working relationships with key stakeholders.
  • Ability to foster a positive and collaborative work environment.
  • Ability to handle sensitive information with absolute discretion.
  • Strong interpersonal skills and emotional intelligence as well as an innovative and strategic mindset.
  • Demonstrated good judgment and excellent prioritization skills.
  • Experienced user of Microsoft Office, Google, and Adobe products.
