Position Overview
The Accounting Support Specialist is responsible for a variety of bookkeeping and financial management tasks, including maintaining financial records, data entry, and generating reports using QuickBooks (QBO). This role collaborates closely with the accounting firm contracted by Friends of Refugees, which produces monthly financial statements from QBO data and supplies essential financial information for annual audits. The Accounting Support Specialist assists the Partner Engagement team by preparing donor reports, integrating data from payment platforms and other contributions with QBO and Bloomerang (CRM). They work in conjunction with the Operations Manager to provide necessary financial assistance to various programs.
Key Responsibilities:
Accounts Receivable–50%
- Accurately records payments received by Friends of Refugees from various donation sources, including in-kind contributions.
- Maintains an organized system for tracking receipts, deposits, payments, invoices, payroll documents, reimbursements, and other financial records.
- Handles bank deposits for cash and check donations.
- Ensures proper categorization of all revenues and expenditures.
- Manages online donation platforms.
- Transfers funds between Friends of Refugees' bank accounts as necessary for operational expenses.
- Collaborates with the leadership team to ensure accuracy in accounting for restricted funds and their application to appropriate expenses.
- Performs additional duties as assigned.
Accounts Payable–30%
- Processes invoices and payments for vendors and contractors, including W-9 documentation.
- Responsible for comprehensive financial record keeping via QBO, ensuring all transactions are supported by appropriate documentation.
- Issues checks for external payments and employee reimbursements in a timely and accurate manner.
- Oversees the management of monthly credit card expenses.
- Provides QBO reports as needed.
- Performs additional duties as assigned.
Customer Service & Reporting –20%
- Professionally engages with external partners who inquire about donations, gifts, tax-deductible receipts, and related matters.
- Submits monthly financial reports (Profit & Loss and Budget vs Actual) to the Operations Manager.
- Prepares year-end donation statements and tax receipts for donors.
- Assists in the development of Friends of Refugees' CRM systems, Kindful donation platform, and QBO as necessary.
- Ensures the Partner Engagement team has access to financial information for grant and donor reporting.
- Exhibits a high level of professionalism when dealing with confidential and sensitive matters.
- Performs additional duties as assigned.
Required Skills and Qualifications
- Alignment with Friends of Refugees' mission, vision, and values is essential.
- A minimum of 1 year of bookkeeping experience is required.
- Familiarity with grants, foundations, and non-profit funding is preferred.
- Previous experience with QuickBooks (QBO) is required.
