Job Summary

The Simons Foundation is seeking an experienced Administrative Manager to support the Neuroscience Collaborations science team in planning and managing the administrative components of the Simons Collaboration on the Global Brain (SCGB) and the Simons Collaboration on Plasticity and the Aging Brain (SCPAB). This role will also provide administrative support for the planning of new Neuroscience Collaborations.

Key Responsibilities
  • Oversee administrative components of the Neuroscience Collaborations grantmaking process, including planning grant review meetings, coordinating progress report site visits, and interacting with grant applicants and external reviewers.
  • Serve as administrative lead for investigator meetings, workshops, and other events.
  • Track progress of meeting timelines and deadlines, and provide updates to the VP of Neuroscience Collaborations and Senior Director of Finance and Administration.
  • Build and maintain program management tools, such as Monday.com boards, to track meeting deadlines and progress on deliverables.
  • Schedule and provide organization support for Executive Committee Meetings and other external and internal meetings.
  • Create and update standard operating procedures, and ensure adherence by team members.
  • Assist with ad hoc projects, including compiling grantee contact information and preparing materials for internal and external reports.
  • Archive and organize department files and folders.
  • Work closely with program management team members in SFARI to coordinate activities within the Autism and Neuroscience division.
  • Foster good working relationships with external and internal stakeholders.
Requirements
  • Bachelor's degree.
  • At least five years' professional experience with administrative and project management support.
  • Experience supporting programs or projects in the medical, science, or grant-making fields is a plus.

  • Ability to balance a high-volume workload under competing deadlines and multiple priorities.
  • Punctual and reliable.
  • Excellent interpersonal skills with all levels of the organization and external communities.
  • Excellent verbal and written communication skills.
  • Sound judgment and discretion.
  • Familiarity with PubMed and Google Scholar is strongly preferred.
What We Offer
  • Competitive salary range: $90,000 - $105,000, depending on experience.
