Job Description

Illumen Group Inc. is seeking an experienced Administrative Support Specialist to manage and support key programs within Health and Human Services (HHS). This role will be responsible for the administration of the Reasonable Accommodations Program, Interpreting and Accessibility Program, and EEO Complaints Branch Program.

Key Responsibilities
  • Administer the intake process for reasonable accommodation, interpretive services, and accessibility requests, utilizing the data warehousing system. Interview individuals to obtain information related to the request, complete intake forms, and data collection. Use regulatory guidelines to explain all programs.
  • Provide support for the Reasonable Accommodations Program by coordinating and delivering effective accommodations for individuals with disabilities.
  • Assist with the Interpreting and Accessibility Program to ensure equal access to digital resources for individuals with impairments.
  • Manage and resolve complaints within the EEO Complaints Branch Program, addressing discrimination, harassment, and other personnel matters.
  • Retrieve, consolidate, analyze, and report on data to ensure efficient program operations and compliance with regulatory guidelines.
  • Communicate program information to participants and stakeholders clearly and comprehensively.
Requirements
  • Schedule meetings as needed to support the processing of requests and the fulfillment of services requests.
  • Coordinate interactive sessions, including scheduling meeting rooms, arranging mediation services, and notifying appropriate participants.
  • Serve as a quality control point for the EEODI, ensuring that packages include necessary briefing materials, accommodation requests, enclosures, and attachments.
  • Accomplish various processing tasks related to the internal operation of the EEO Office, including TDY transactions and employee time and attendance.
  • Track and file all office correspondence, receiving and reviewing incoming office correspondence, determining required action, establishing suspense dates for action, making appropriate distribution, and following up on all suspended actions.
  • Establish and maintain subject-matter files required for the management of the EEO Office, ensuring files are properly labeled according to existing regulations.
