Position Overview:
As a part-time member of the Finance Team, the Financial Operations Assistant is responsible for managing the Accounts Payable functions and providing support for Donation Processing activities.
This role requires a commitment of hours per week, performed in an office setting.Key Responsibilities:
- Oversee multiple assignments and prioritize tasks to ensure timely completion.
- Receive and process vendor invoices, ensuring they are directed to the appropriate management for payment authorization.
- Input vendor invoices into the expense management system with precise account coding and due dates.
- Facilitate the payment of authorized invoices via check or electronic transfer.
- Assist the Senior Accountant in the preparation of 1099 forms for vendors at the end of the fiscal year.
- Support the Senior Accountant with vendor documentation, including contracts and W-9 forms.
- Provide backup assistance to the Donation Processing Assistant during peak seasons and in the event of absences.
Donation Processing tasks include creating check deposits, processing online donations, accurately entering data into the donor database, and promptly issuing receipts to donors.
Additionally, assist with donor communications by handling incoming calls, responding to emails, and following up with donors regarding declined or expired account numbers.
Contribute to the Accounting Team and the organization by engaging in other projects as needed.
Regularly update the Procedures Manual for the role to reflect current best practices.
Proactively identify and suggest improvements to accounting or data entry processes.

Education & Experience Requirements:
High School Diploma required; Associate's Degree preferred.
Two years of experience in bookkeeping or accounts payable preferred.
Skills & Knowledge Required:
- A collaborative, team-oriented attitude with a focus on problem-solving.
- Strong customer service skills, with the ability to communicate effectively and resolve issues amicably.
- Excellent organizational skills and attention to detail, ensuring high accuracy in numerical and data entry tasks.
- Proficient in computer applications, particularly Microsoft Office (Word, Excel, Outlook), and the ability to learn custom donor database systems.
- Self-motivated with a capacity for independent work, creativity, and critical thinking.
- Commitment to confidentiality and alignment with the mission and values of Kids Alive International.
- Willingness to travel occasionally for training purposes.

Communicate effectively with team members and stakeholders, demonstrating strong reasoning and analytical abilities.
Lift objects up to 30 pounds and occasionally perform physical activities such as climbing stairs or bending.
Regular Work Environment:
While performing the duties of this job, the employee will typically work in an office environment with moderate noise levels. Overtime or work outside of normal hours may be required on rare occasions.
Salary:
$18 - $20 per hour
