POSITION OVERVIEW

The Logistics Coordinator is accountable for delivering proactive and exceptional customer service to designated accounts, facilitating the scheduling of inbound and outbound shipments with customer carriers (including LTL and TL shipments) when applicable, and managing invoicing and billing documentation. This role involves responding to inquiries and complaints regarding work orders, invoices, shipments, and inventory counts. The coordinator also aids in implementing the company’s Quality, Safety, and Customer Standard Operating Procedures (SOPs). Coordination with vendors, sales personnel, customer service representatives, billing staff, warehouses, and shippers is essential.

KEY RESPONSIBILITIES
  • Maintain regular communication with clients and agents.
  • Serve as a liaison between the warehouse and customers for account and operational requirements, resolving discrepancies as needed.
  • Foster and sustain productive relationships with clients, vendors, agents, and industry partners.
  • Oversee all facets of assigned orders, including order entry, transportation scheduling, communication maintenance, order tracking, issue resolution, documentation management, and proactive customer support.
  • Adhere to company SOPs and Quality Assurance processes for all customer and warehouse activities, including order specifications and shipping requirements.
  • Support the onboarding process for new clients.
  • Maintain records of damages, backorders, and any necessary regulatory reporting.
  • Identify and propose process enhancements.
  • Collaborate with corporate billing staff to ensure accurate and timely billing of all warehouse accounts.
  • Monitor Project KPIs and recommend training, work allocation, and problem resolution.
  • Generate customer reports for both internal and external stakeholders.
  • Participate in customer meetings as required.
  • Contribute to the development of departmental goals and objectives, recommending and implementing methods to improve operations.

Education & Experience:

A minimum of a High School Diploma is required; a college degree or some college experience is highly preferred. At least 2 years of direct experience in a similar field or completion of Logistics and Transportation courses through an accredited institution is necessary.

Supervisory Responsibilities:

This position may involve direct supervision of a team of 5-15 individuals.

Knowledge, Skills, and Abilities:

Familiarity with inventory management procedures and general warehousing terminology is essential. Knowledge of warehouse and inventory management systems is required. Strong mathematical and financial accounting skills are necessary. Proficiency in MS Word applications (e.g., Excel, Outlook) and the ability to quickly learn warehouse and transportation systems are vital. Skills in spreadsheet tracking and data analysis are crucial. Strong interpersonal and communication skills are required. The ability to manage communications among multiple parties using various software technologies is expected, along with the capability to negotiate and resolve customer claims effectively. Time management, prioritization of deadlines, and proactive communication with management regarding deadlines are essential. Teamwork and cooperation skills are imperative. Flexibility in working hours may be required.

Physical Activity Level:

While performing the duties of this position, the employee is regularly required to stand, walk, sit, use hands to manipulate objects, reach with hands and arms, climb or balance, stoop, kneel, crouch, or crawl, see clearly, and communicate verbally. The employee must regularly lift and/or move up to 49 pounds unassisted and may need to carry and climb ladders. The ability to stand and walk for extended periods is required, along with the capability to twist, stoop, squat, reach above shoulder level, and crouch frequently. The employee must be able to use hands and feet simultaneously and for repetitive movements.

Working Conditions:

The work environment is primarily cubicle-based, with a moderate noise level. Some facilities may expose employees to a warehouse environment where loud noises are common and varying weather conditions may be experienced.
