Castle Management, a prominent property management firm based in San Ramon, CA, has been a trusted partner for rental property owners in the Bay Area since 1986.
We are in search of a detail-oriented and adaptable individual to fill the role of Administrative and Office Coordinator. This position is vital for maintaining efficient daily operations by overseeing front desk duties, providing support for accounting tasks, and assisting with a variety of administrative responsibilities.
Key Responsibilities:
Front Desk Operations:
- Welcome and assist visitors with professionalism and courtesy.
- Handle incoming calls and direct them appropriately.
- Oversee the management of mail and packages.
Accounting Assistance:
- Address inquiries from vendors, Portfolio Managers, and Resident Managers.
- Ensure timely processing of Deposit Accounting.
- Support the preparation of 1099 Miscellaneous tax forms for vendors.
- Monitor certificates of insurance for tenants, owners, and vendors.
- Assist with accounts payable and receivable tasks, ensuring organized filing systems.
- Maintain financial documentation and generate basic reports as required.
General Administrative Support:
- Manage inventory of office supplies and place orders as needed.
- Provide clerical support, including filing, photocopying, scanning, faxing, sorting, and mailing documents.
- Handle sensitive and confidential information with discretion.
- Perform additional administrative and clerical duties as assigned.
Qualifications: The qualifications listed below represent the necessary knowledge, skills, and abilities required for this role. Reasonable accommodations may be made to enable individuals with disabilities to perform essential functions.
- Proficient computer skills, including MS Office; familiarity with Yardi Voyager is a plus.
- Possess a reliable vehicle and maintain a good driving record for necessary errands.
- Typing speed of at least 45 words per minute.
- Data entry speed of a minimum of 10,000 keystrokes per hour.
- Strong attention to detail and organizational skills.
- Ability to work effectively under deadlines.
Education and Experience:
1-2 years of relevant experience and/or training, or an equivalent combination of education and experience. Some familiarity with accounting and office procedures is preferred.
Job Type: Full-time
Compensation: $24.00 per hour
Expected Work Hours: 40 hours per week
