Position Overview:
The role is pivotal in maintaining essential systems that support patient care operations. This position is responsible for scheduling and coordinating various appointments, procedures, and tests while effectively managing and communicating department and provider schedules. The goal is to deliver outstanding departmental support to enhance clinical operations and ensure an exceptional patient experience.
Key Details:
- Part-time role with the option to take on additional shifts to cover for absences.
- This position is integral to the AHCI Piper Breast Center Imaging Department.
- Operating hours are Monday to Friday from 7:30 AM to 5 PM, with closures on weekends and holidays.
- Prior experience in scheduling within diagnostic imaging or at a breast center is advantageous.
- Appointment Scheduling:
- Manage the scheduling and rescheduling of patient appointments, procedures, diagnostic tests, surgeries, and hospital admissions across multiple providers.
- Document all scheduling activities in the electronic medical record system.
- Verify insurance details and obtain necessary prior authorizations; may also register patients.
- Handle the patient outcome tool, including preparation and distribution.
- Adjust schedules and calendars to reflect changes in provider availability.
- Coordinate interpreter services for patients as required.
- Administrative Support:
- Provide reception duties and assist with patient check-in processes.
- Manage telephone communications and route messages appropriately.
- Track insurance verification using various systems.
- Maintain the lobby area and ensure patient documentation is complete.
- Organize and manage departmental records, manuals, and educational materials for patients.
- Participate in fulfilling patient data reporting requirements and compliance with regulatory standards.
- Create and maintain training materials for new and existing staff.
- Assist physicians with reimbursement processes, credentialing, charge capture, and medical records management.
- Chart Preparation:
- Review patient records to identify any required external documents.
- Ensure patient consent forms are current and updated.
- Contact document sources to obtain records, and manage scanning and indexing into the electronic medical record.
- Additional Duties:
- Perform other responsibilities as assigned.
- Must be at least 18 years old with the necessary education and/or experience to meet the required competencies; a high school diploma or GED is preferred.
- Post-secondary education in a medical field is preferred.
- 2 to 5 years of experience in a medical office, including administrative support, scheduling, customer service, and familiarity with Microsoft Suite and electronic medical records is preferred.
Sedentary:
Occasional lifting of up to 10 lbs, with negligible weight frequently.
