Job Summary

We are seeking a highly organized and detail-oriented Medical Office Coordinator to join our team at Huntsville Hospital Health System. As a key member of our clinic team, you will play a vital role in providing exceptional patient care and ensuring the smooth operation of our office.

Responsibilities
  • Prepare the office for daily activities, including distributing schedules, locating charts, and organizing the lobby area.
  • Answer incoming telephone calls, route them to the appropriate person, or take complete messages.
  • Fax prescriptions to the correct location.
  • Assist patients in completing necessary forms, verify patient charts, and update information in our computer system.
  • Prepare new patient charts and enter data into our computer system.
  • Greet visitors and direct them appropriately.
  • Verify insurance information prior to patient arrival, complete insurance verification forms, and file them in patient charts.
  • Inform patients of their co-pay and collect it at the time of visit.
  • Key charge and diagnoses into the system to provide accurate billing information.
  • Maintain files with referral slips and authorizations and make appointments for consults, adhering to our office scheduling policies.
Requirements
  • High School diploma or GED preferred.
  • Minimum of one year of clerical experience in a family or pediatric care setting preferred.
  • Previous secretarial/receptionist and customer service experience preferred.
  • Typing, word processing, computer, and telephone skills preferred.
Additional Skills/Abilities
  • Excellent communication skills with the ability to work in a fast-paced environment, requiring prioritizing and changing tasks frequently and quickly.
  • Ability to use a computer terminal, fax machine, multi-line telephone, and copy machine.
