Position Overview

We are in search of a seasoned property management expert with outstanding leadership, financial acumen, strategic planning, and customer service capabilities to become part of our team. This proactive and results-oriented individual will thrive in a vibrant and fast-paced environment, overseeing multiple properties. The Senior Site Manager will report directly to the Portfolio Director.


Key Responsibilities:


Building Relationships

  • Collaborate with Aeon staff and external partners to assist residents in maintaining housing stability and achieving their housing goals.
  • Ensure residents receive exceptional service in a welcoming and supportive atmosphere.
  • Lead customer service initiatives with cultural sensitivity, addressing the diverse needs and expectations of residents, staff, vendors, and community members.

Staff Leadership and Development

  • Enhance staff effectiveness through continuous training, mentoring, and timely performance management.
  • Encourage team growth by promoting participation in seminars and development opportunities.
  • Conduct annual performance evaluations for all team members.
  • Document all disciplinary actions and procedures appropriately.
  • Utilize delegation skills to manage time effectively and facilitate cross-training among staff.
  • Ensure accurate time reporting compliance.

Financial Oversight

  • Assist in the formulation of annual operating budgets for assigned properties.
  • Generate monthly financial variance reports.
  • Support annual capital expenditure planning to safeguard and enhance assets.
  • Monitor and manage property receivables effectively.
  • Control expenses to maximize property profitability.

Maintenance and Contractor Supervision

  • Oversee the maintenance and upkeep of properties by guiding the maintenance team.
  • Regularly monitor and ensure timely completion of resident and common area work orders.
  • Inspect properties for potential hazards or liability issues as needed.
  • Continuously review vendor invoices and performance.
  • Address any vendor performance issues or invoice discrepancies.
  • Prepare for and oversee quality inspections, including but not limited to regulatory compliance checks.

Leasing and Marketing

  • Achieve occupancy targets set by the organization through effective marketing strategies.
  • Process applications and ensure resident retention.
  • Implement affirmative marketing practices.

Administrative Management

  • Ensure effective employee selection, training, and performance management, ensuring compliance with policies and procedures.
  • Maintain property files and records in accordance with regulatory and organizational standards.
  • Continuously enhance management and technical skills.

Qualifications

  • A minimum of 3 years of experience in multi-site multifamily property management with a proven track record of fostering teamwork and enhancing performance across various properties.
  • Experience with Tax Credit and Section 8 programs is essential.
  • Demonstrated success in managing a minimum of 200 units and leading teams of at least 3 staff members.
  • Strong skills in financial analysis, property budgeting, and reforecasting with meticulous attention to detail.
  • Experience working with individuals affected by mental health challenges, substance use, poverty, and trauma is advantageous.
  • Proven leadership and community-building skills with staff, residents, and community stakeholders.
  • Ability to engage in culturally responsive interpersonal communication, recognizing diverse needs and expectations.
  • Resourceful problem solver with a commitment to excellence, customer service, and loyalty to Aeon's mission.
  • Strong work ethic with the ability to prioritize and manage a diverse workload in a dynamic environment.

  • A valid driver's license, reliable transportation, and vehicle insurance are required.
  • Physical Requirements:
    • Ability to lift up to 10 lbs.
    • Ability to reach above and below shoulder height.
    • Ability to sit and stand for extended periods.
    • Ability to conduct property tours, including inspections of grounds and common areas.
    • Ability to file and enter data into a computer for prolonged periods.
    • Ability to work in various weather conditions.

Compensation and Work Environment

Compensation is based on experience and includes a comprehensive benefits package featuring medical, dental, vision, life insurance, short-term and long-term disability, retirement plans, generous paid time off, and an employee assistance program. This full-time role typically follows a Monday to Friday schedule during daytime hours, with some flexibility to meet the needs of the position and staff. The Senior Site Manager will participate in an on-call rotation approximately every 5-6 weeks, which includes making management decisions as needed. This position is primarily office-based with occasional travel to other properties for training and meetings.
