Front Office Supervisor

Join our team at Holiday Inn Express Charleston as a Front Office Supervisor. In this role, you will be responsible for supervising all front office personnel and ensuring the proper completion of all front office duties. You will direct and coordinate front desk activities, including guest services, reservations, and telephone areas. Additionally, you will prepare monthly reports and budgets for the front office department.

Key Responsibilities:
  • Train, cross-train, and retrain front office personnel
  • Participate in the selection of front office personnel
  • Schedule front office staff
  • Supervise workload during shifts
  • Evaluate job performance of each front office employee
  • Maintain working relationships and communicate with all departments
  • Maintain master key control
  • Verify accurate room status information and communicate properly
  • Resolve guest problems quickly and efficiently
  • Update group information and maintain, monitor, and prepare group requirements
  • Review and complete credit limit report
  • Work within allocated budget for front office
  • Receive information from previous shift manager and pass on pertinent details to oncoming manager
  • Check cashiers in and out and verify banks and deposits at end of each shift
  • Enforce cash-handling, check-cashing, and credit policies
  • Conduct regularly scheduled meetings of front office personnel
  • Wear proper uniform at all times and require all front office employees to do the same
  • Uphold hotel's commitment to hospitality
  • Prepare performance reports related to front office
  • Maximize room revenue and occupancy by reviewing status daily
  • Monitor high balance guest and take appropriate action
  • Ensure implementation of all hotel policies and house rules
  • Operate all aspects of Front Office computer system
  • Prepare revenue and occupancy forecasting
  • Ensure logging and delivery of all messages, packages, and mail in timely and professional manner
  • Ensure employees are attentive, friendly, helpful, and courteous to all guests, managers, and other employees
  • Monitor all V.I.P special guests and requests
  • Maintain required pars of all front office and stationary supplies
  • Review daily front office work and activity reports generated by Night Audit
  • Review Front office log book and Guest feedback forms on daily basis
  • Maintain organized and comprehensive filing system with documentation of purchases, vouchering, schedules, forecasts, reports, and tracking logs
  • Perform other duties as requested by management

Requirements:

  • Minimum two-year college degree
  • Must be able to read, speak, write, and understand primary language used in workplace
  • Minimum of one year of hotel front desk supervisory experience
  • Experience handling cash, accounting procedures, and general administrative tasks
