Medical Office Lead Specialist

Key Responsibilities:- Greet patients and visitors, providing a warm and respectful welcome.
- Communicate wait times and direct patients accordingly, ensuring a smooth and efficient experience.
- Obtain authorization and process patients for services, maintaining compliance with policies and procedures.
- Check in patients using our patient management system, ensuring accurate and timely processing.
- Explain required forms to patients and ensure proper completion, promoting a seamless experience.
- Answer incoming telephone lines and direct callers accordingly, providing exceptional customer service.
- Check out patients in our patient management system and distribute records, maintaining confidentiality and security.
- File paperwork, medical records, and correspondence, ensuring accurate and timely processing.
- Maintain inventory of office supplies and printed forms, promoting a well-organized and efficient work environment.
- Manage dissemination of paperwork to outside parties, including non-injury, custody, and control forms, while adhering to HIPAA guidelines and safety rules.
- Attend center staff meetings and participate in initial and ongoing training, staying up-to-date on the latest procedures and best practices.
- Complete processing of patient referrals, including accurate checkout, paperwork processing, patient education, and communication with Client Support Group.
- Assist the Center Operations Director or other leader in managing daily administrative functions, promoting a collaborative and supportive work environment.
- Assist in maintaining a neat, clean, and orderly appearance throughout the facility, ensuring a positive and welcoming environment for patients and staff.
- Review clinician transcriptions and enter applicable charges via our internal charge entry system, promoting accurate and timely billing.
- Perform medical assistant duties, such as breath alcohol tests, drug screens, TB skin test reads, and other duties as assigned or approved by medical leadership.
This role requires a high school diploma or equivalent, as well as at least one year of clinical operations experience in a medical office or related environment. A working knowledge of state-specific occupational medicine requirements is preferred.
