Role Summary:
We are in search of a detail-oriented and proactive Intake Specialist to enhance our dynamic team. This position encompasses a variety of administrative and clerical responsibilities, requiring the ideal candidate to demonstrate exceptional organizational skills and effective communication abilities. Key tasks include managing phone communications, addressing inquiries from potential clients, conducting initial client intakes, tracking communication efforts, and supporting management to ensure seamless daily operations.
Key Responsibilities:
- Phone Management: Handle incoming calls, direct them appropriately, and conduct follow-up calls as necessary.
- Appointment Coordination: Schedule and organize appointments for clients and attorneys efficiently.
- Correspondence Handling: Draft and distribute emails, memos, letters, and other essential documentation.
- Database Management: Keep client information and contact lists updated and accurate.
- Filing System Organization: Maintain both digital and physical filing systems as required.
- Policy Compliance: Adhere to office policies and assist in preparing regular reports.
- Supply Oversight: Monitor and procure office supplies as needed.
- Client Interaction: Act as the primary point of contact for clients, ensuring exceptional service.
- Liaison Duties: Collaborate with senior management to address requests and manage inquiries.
Qualifications:
- Communication Skills: Strong written and verbal communication abilities.
- Organizational Skills: Proven capacity to manage multiple tasks effectively.
- Attention to Detail: High level of accuracy and problem-solving capabilities.
- Technical Skills: Proficient in office equipment and software, including MS Outlook, Word, Excel, and practice management tools.
- Time Management: Ability to prioritize tasks and manage time efficiently.
- Education: High school diploma required; experience in administrative roles is a plus.
