Job Responsibilities:
- Office Organization and Management: Oversee the office's daily operations to facilitate workflow
- Serve as the primary onsite point of contact for visitors and office employees ensuring a friendly, personal experience and respond to requests and questions about office operations
- Maintain a clean, organized, and efficient work environment and provide solutions to improve office efficiency
- Communicate with vendors, suppliers, and other service providers including facility maintenance staff and building owners
- Ensure office equipment is functioning properly, supplied, maintained, and serviced as needed as well as maintain onsite office supply, furniture and kitchen inventory by checking and replacing stock, anticipating needed supplies, placing orders for supplies, and verifying receipt of supplies
- Coordinate with IT Team to support and maintain office technology and assist with onsite meeting room set up/connections etc.
- Support new employee orientation relating to office policies and first week office needs
- Handle office emergencies and troubleshooting issues as they arise
- Facilitate teamwork and collaboration within the office
- Other duties as assigned
- Administrative Support: Support executive members with calendar management, meeting organization, travel logistics and expense reporting
- Act as a point of contact between staff, executives, and external parties
- Coordinate schedules, appointments, and meetings and actively coordinate and participate in various onsite team meetings, helping coordinate agenda and content, taking meeting notes and posting meeting follow-ups and other communications
- Manage correspondence such as emails, phone calls, and mail and oversee review and distribution of ELT mail
- Schedule end to end executive travel and calendar coordination between company office locations
- Process timely and efficient expense reports for both executive and office expenses
- Prepare and edit documents, reports, and presentations and distributing as required
- Event Planning and Coordination: Operate as primary point of contact and coordinator for all Nashville office and executive team events, meetings and conferences
- Handle vendor identification, contract negotiations, payment processing and onsite support
- Manage travel logistics for on-site and off-site events
- Daily lunch coordination for executives and team meetings
- Schedule and support ELT related activities for new hire orientation and other office event participation

You Bring:
- Bachelor's degree in Business Administration, Office Management, or related field preferred
- 5+ years of proven experience in office management and/or administrative roles
- Strong experience scheduling with tools such as Teams, Outlook, Zoom, and other meeting platforms
- International and domestic travel reservation systems experience, including travel Visa submissions and Passport control requirements
- Proficiency in Microsoft Office Suite, particularly Excel, Word, and Outlook
- Strong organizational and multitasking abilities, with keen attention to detail
- Excellent communication and interpersonal skills
- Ability to work independently and prioritize tasks effectively
- Strong time-management and people skills with high degree of flexibility
- Ability to be on site Tuesday, Wednesday and Thursday each week
- Good attendance and punctuality
- Ability to maintain confidentiality of company information
- Previous experience at a Corporate Headquarters preferred
You will need to be able to complete all physical requirements of the job with or without a reasonable accommodation, including:
- Move about inside the office to access file cabinets, meeting rooms, copier/printer etc as well as have the ability to remain in a stationary position 50% of the time
- Communicate effectively with customers through multiple forms of technology, including telephone and computer. Must be able to receive and convey information
- Required to retrieve or reposition products like office supplies and sewing machines weighing up to 50 pounds
