Administrative Support Specialist

The Executive Assistant II provides advanced general administrative support to a department or group of professionals. This role requires minimal supervision and involves regular interaction with executive management and all levels of employees from across the organization. The successful candidate will be responsible for managing complex calendars, coordinating appointments, meetings, and travel, as well as extensive rescheduling. They will also anticipate travel needs of executives and coordinate complex travel arrangements. Additionally, they will develop meeting materials, act as a meeting scribe, and manage recognition and volunteerism programs within the department. The ideal candidate will have excellent communication skills, organizational, multi-tasking, and time management skills, and be highly responsive, flexible, and adaptable.
Key Responsibilities
Administrative Duties:
- Manage complex calendars, coordinate appointments, meetings, and travel, as well as extensive rescheduling.
- Anticipate travel needs of executives and coordinate complex travel arrangements.
- Develop meeting materials, create documents and presentations, gather agenda items, draft and edit correspondence, and act as a meeting scribe in team meetings or as needed.
- Manage recognition and volunteerism programs within the department.
- Perform advanced administrative support specific to assigned functional area with a moderate amount of supervision.
- Lead projects that are small in scope.
- Participate in projects that are broad in scope.
Department Management:
- Maintain department budget and complete special projects as needed.
- Inform management of pending issues and items that have been handled on their behalf.
- Manage department data and run reports, such as key performance metrics, compliance, and training.
- Organize department programs and events, including recognition events.
- Arrange and coordinate on-site and off-site meetings.
Dimension and Scope Data:
- Under minimal supervision, provide advanced administrative support to a department or group of professionals for BE2 and below.
