Responsibilities
  • Process sales and parts orders for timely delivery and customer satisfaction.
  • Manage warranty, service requests, RGAs, and start-ups to ensure seamless customer experiences.
  • Send Notice-to-Owner requests for jobs over $5,000 and ensure compliance with state regulations.
  • Resolve customer inquiries, issues, and complaints in a timely and professional manner.
  • Maintain accurate customer information in CRM systems to drive informed decision-making.
  • Coordinate with sales, marketing, and logistics teams to streamline operations and improve efficiency.
  • Manage sales documentation, including contracts, invoices, and purchase orders, to ensure accuracy and compliance.
  • Resolve customer invoice disputes and receivables backlog with the accounting team.
  • Set up new vendors and customers in systems to facilitate smooth business operations.
  • Coordinate with the supply chain for product availability and track shipments to ensure timely delivery.
Qualifications
  • Education: A high school diploma or equivalent; an associate's or bachelor's degree in business administration, marketing, or a related field is a plus.
  • Experience: 2+ years of experience in sales support, administration, or a similar role; experience in the HVAC industry is preferred but not required.
  • Proficiency with Microsoft Office Suite, CRM software, ERP systems, and relevant technical tools.
  • Knowledge of sales processes and customer service principles.
  • Excellent verbal and written communication skills.
  • Strong organizational skills with the ability to prioritize effectively.
  • Diligence and accuracy in order processing and record keeping.
  • Strong customer service skills for prompt issue resolution.
  • Problem-solving ability with effective implementation of solutions.
  • Collaborative attitude and ability to work effectively within a team environment.
