ClearChoiceMD is on the lookout for a reliable full-time Patient Registration Specialist to enhance our cutting-edge urgent care facility. We seek an individual who is approachable, possesses exceptional communication abilities, and thrives in a dynamic environment.

Work Schedule: Full-time hours are from 8 AM to 8 PM, three days a week, including rotating weekends.

Role Overview: The Patient Registration Specialist is responsible for welcoming and registering patients who arrive at our facility, collecting essential demographic and insurance details, and assisting with financial inquiries, including the acceptance and processing of copayments.

Key Responsibilities:

  • Welcome patients warmly and assist them as needed.
  • Gather and verify accurate demographic and insurance information for all patients.
  • Utilize our computer system to create fee slips, ensuring all information is correct.
  • Provide necessary forms for patients to complete and ensure all registration fields are accurately filled and scanned into patient records.
  • Keep patients informed about their account status.
  • Notify clinical staff when patients are ready for consultation.
  • Collect payments, including insurance co-pays and other charges.
  • Coordinate patient care and records with other clinic locations as required.
  • Compile reports from referrals and prior authorizations.
  • Maintain familiarity with all clinic locations, operational hours, and directions.
  • Answer phone calls, take messages, and relay information to appropriate staff.
  • Perform various administrative tasks such as photocopying, faxing, and filing.
  • Maintain accurate logs of daily activities, including patient counts and financial transactions.
  • Audit and balance all financial transactions to ensure accurate deposits.
  • Distribute mail and manage office supplies to support efficient operations.
  • Foster a positive team environment by supporting all personnel and departments.

Qualifications:

  • Maintain a clean and organized workspace, including the patient waiting area.
  • Prepare the reception area for patients each morning.
  • Identify opportunities for process improvements to enhance patient care and service quality.
  • Report any issues to management promptly.
  • Adhere to professional standards and guidelines.
  • Exhibit calmness under pressure and effectively engage with patients.
  • Uphold confidentiality and demonstrate sound judgment and initiative.
  • No travel is required for this position, although training may occur at a different location.

Education & Experience:

  • High school diploma or equivalent.
  • 1-3 years of customer service experience in a healthcare or retail setting.
  • Proficiency in MS Office applications such as Word and Excel.
  • Experience with healthcare management software is a plus.

Work Environment: This role is situated in a medical office setting, with potential exposure to various health-related conditions.

Physical Requirements: The position involves extensive computer use and may require prolonged sitting, along with occasional repetitive motions.
