Position Overview

The Receptionist/Administrative Coordinator at First Class Air Support LLC is the initial point of interaction for our clients and visitors, playing a crucial role in fostering a welcoming atmosphere. This position demands exceptional typing skills, strong interpersonal abilities, and effective communication.

Key Responsibilities

  • Manage incoming phone calls and direct them to the appropriate departments.
  • Retrieve and relay messages from voicemail to relevant personnel.
  • Determine the purpose of incoming calls and ensure they reach the correct individual or department.
  • Take messages and transfer calls to voicemail when necessary.
  • Welcome visitors with a courteous and professional attitude.
  • Provide information about the organization, including directions and other inquiries.
  • Monitor visitor access and issue passes as needed.
  • Attend meetings, document minutes, and prepare them for distribution.
  • Sort and distribute incoming mail and manage publications.
  • Order and maintain office supplies efficiently.
  • Draft and print memos, correspondence, reports, and other necessary documents.
  • Engage with clients, visitors, staff, and the public in a professional manner.
  • Ensure adequate supplies are available for office operations.
  • Perform additional tasks as assigned by management, focusing on detail to support seamless office functionality.

Qualifications

  • High School Diploma or G.E.D. is required.
  • Proficient in Microsoft Office Suite, including Excel.
  • Experienced in operating and maintaining office equipment.
  • Strong organizational and office management capabilities.
  • Effective record-keeping skills.
  • Excellent listening and verbal communication skills.
  • Professional appearance and demeanor.
  • Able to multitask efficiently while providing direction in person and over the phone.
