Job Summary

Rapaport is seeking a highly organized and detail-oriented Office Administrator & Receptionist to provide exceptional support to our team.

Key Responsibilities
  • Welcoming clients and visitors, and ensuring a positive first impression
  • Providing top-notch customer service and handling incoming calls
  • Maintaining a tidy and efficient reception area, kitchen, and office
  • Managing bills and vendor payments in a timely manner
  • Coordinating auction payments and tracking incoming packages and mail
  • Ordering office supplies and equipment, and supporting team with data entry and scheduling
  • Scanning, filing, and organizing office files and documents
  • Performing general office administrative duties and coordinating with building management
Requirements
  • Proven experience as an Office Manager or Executive/Administrative Assistant
  • Knowledge of office systems and procedures
  • Proficiency in Microsoft Suite and Zoom
  • A kind and positive attitude
  • Excellent time management and multitasking skills
  • Attention to detail and problem-solving skills
  • Excellent written and verbal communication skills
