Job Summary

Cohen Seglias is seeking a highly skilled Paralegal/Administrative Assistant to join our Family Law team. This role requires a minimum of 5 years of experience in a law firm setting, with a strong background in family law.

Key Responsibilities
  • Provide administrative support to attorneys, including managing incoming calls, taking messages, and conducting client intake calls.
  • Run conflict checks, open new matters, and send client handbooks as needed.
  • Communicate with clients, opposing counsel, and court staff in a professional manner.
  • Coordinate meetings, depositions, and other events with attorneys and clients.
  • Draft, edit, and finalize documents, including cover letters, pleadings, and motions.
  • Exhibit extensive knowledge of e-filing in JEDS and ecourts.
  • Maintain attorney calendars, including appointments, court deadlines, and meetings.
  • Review and calendar important dates, calculate deadlines, and remind attorneys of upcoming deadlines.
  • Maintain files, including properly filing correspondence, creating and updating pleadings and discovery indexes, and creating folders for documents.
  • Update firm systems with party information, including representation by attorneys, addresses, and other relevant details.
  • Coordinate financial functions, including preparing expense reimbursement forms and making check requests.
Requirements
  • High school diploma or equivalent required; associate's degree preferred.
  • Minimum of 5 years of experience as an administrative assistant in a law firm, including family law experience.
  • E-filing experience required.
  • Paralegal certificate a plus.
  • Strong computer skills, with working knowledge of Microsoft Office products.
  • Prior experience with document management systems and docketing software.
  • iManage and CoreRelate experience a plus.
  • Strong interpersonal and communication skills.
  • Strong organizational skills with ability to multitask effectively.
