Key Responsibilities

  • Ensure orders are processed accurately and within designated timeframes.
  • Initiate order processing in accordance with customer specifications and internal standards.
  • Facilitate effective communication and collaboration with both internal teams and external clients.

Essential Duties

  • Monitor and maintain departmental KPIs and customer satisfaction metrics.
  • Handle incoming customer inquiries via phone and take appropriate actions.
  • Manage and respond to customer emails promptly, escalating issues as necessary for swift resolution.
  • Keep detailed and accurate records in our proprietary database.
  • Perform routine data entry tasks, including entering new orders and tracking shipment information across various systems.
  • Conduct general office duties such as typing, faxing, and mail distribution.
  • Organize and manage documents within our Document Management System.
  • Assist in coordinating dispatch activities, including providing driver instructions and confirming deliveries.
  • Update schedules, logs, and tasks on a daily basis.
  • Complete other assigned tasks as required.

Qualifications

  • High school diploma or equivalent; some college education is preferred.
  • Minimum of 1 year of relevant customer service experience.
  • Experience in the logistics or transportation industry is advantageous.
  • Proficiency in Microsoft Office Suite, particularly Excel, Word, and Outlook at a basic level.
  • Ability to type at a speed of 35 WPM and experience with ten-key data entry.
  • Strong verbal, written, and listening communication skills.
  • Capability to work independently and as part of a collaborative team.
  • Ability to maintain confidentiality with professionalism.
  • Exceptional customer service skills and the ability to build effective professional relationships.
  • Meticulous attention to detail and high accuracy in data entry.
