Nature of Work

Under close supervision, the Transportation Procurement Associate engages in paraprofessional, full-performance level tasks related to the acquisition of goods and services for the Department of Transportation. This role encompasses responsibilities for purchasing functions, evaluating purchase requisitions for precision and completeness, managing contracts, and overseeing inventory and records management activities. Duties may include procuring goods or services that necessitate an extensive understanding of the specific area of employment. Additional responsibilities may involve monitoring inventory and/or fixed assets.

Typical Duties and Responsibilities
  • Evaluates purchase requests to ascertain the availability of required items through internal resources or existing contracts, or determines if bids need to be solicited; gathers bids, facilitates public bid openings, and assists in bid evaluations.
  • Reviews requisitions for accuracy, completeness, and clarity; rectifies any discrepancies in requisitions and supplements with necessary information.
  • Prepares and compiles requisitions, correspondence, memoranda, and reports. Collects and organizes all essential documents from the purchase requester to finalize the purchase order.
  • Records, monitors, and tracks requisitions and purchase orders to enhance the procurement process.
  • Maintains fixed assets and inventory records in the designated system, ensuring the validity of assets based on commodity codes and dollar thresholds, updating records due to changes, tagging fixed assets, and retiring assets in compliance with state guidelines.
  • Assists in conducting audits of fixed assets and inventory.
  • Maintains tracking databases.
  • Updates information on the DOT contracts web page.
  • Travel may be required, thus a valid driver's license is necessary.
Required Skills and Knowledge
  • Familiarity with state purchasing laws, rules, and regulations.
  • Understanding of office methods, practices, and procedures.
  • Basic math and/or bookkeeping skills.
  • Knowledge of records retention and disposal.
  • Ability to accurately review forms to ensure standards and specifications are met.
  • Capability to comprehend and follow instructions.
  • Effective communication skills, both verbal and written.
  • Ability to establish and maintain productive working relationships.
Required Education and Experience

REQUIRED TRAINING/EDUCATION
  • High School Diploma or Equivalent.
REQUIRED EXPERIENCE
  • Two years of full-time or equivalent part-time paid experience in a broad range of purchasing commodities or services within a centralized purchasing function for private industry or governmental units.
